Ferguson HVAC Warranty Claim Form: Conditions, Photos, and Submission

The Ferguson HVAC warranty claim form is a single online submission at ferguson.com/hvac-warranty-form that contractors use to request manufacturer-covered replacement parts or unit credits after a covered failure. The repair has to be finished before you file, and the claim must be submitted within 30 days of the repair date. The form covers fourteen brands, including Carrier, Trane, Goodman, Rheem, Ruud, and American Standard, and replaces the paper claim forms Ferguson used to accept at branch counters.1Ferguson. Who Can File

This is a business-to-business process. The form requires a Ferguson account number along with the contractor’s business name, phone, email, and address, so homeowners cannot submit a claim directly. When the manufacturer approves the claim, Ferguson’s HVAC Central Warranty team issues a credit to the contractor’s Ferguson account, not to the homeowner.1Ferguson. HVAC Warranty

If you own the equipment and something has failed, call the contractor who installed or services your system and have them file. You will still need to give them your name, phone number, and the address where the unit is installed, because the form has a homeowner section too.

Three Conditions to Meet Before You Open the Form

Ferguson will not accept a claim unless all three of the following are true. Missing any one of them is a built-in rejection.

  • The repair is already done. The replacement part has to be installed before you submit. Ferguson does not process claims for pending work.1Ferguson. HVAC Warranty
  • The replacement part was purchased from Ferguson. You will need the Ferguson invoice number for that purchase on the form. A part sourced elsewhere will not clear.1Ferguson. HVAC Warranty
  • Full unit exchanges have prior manufacturer authorization. If you are swapping an entire unit rather than a component, get the authorization or case number from the manufacturer before the swap. Without that number, Ferguson will not file the claim.1Ferguson. HVAC Warranty

If your brand is not among the fourteen the form covers (American Standard, Carrier, Daikin, Durastar Minisplits, Durastar Unitary, Friedrich, Fujitsu, Goodman, International Comfort Products, Mitsubishi, Oxbox, Rheem HVAC, Ruud, and Trane), contact your local Ferguson branch instead.1Ferguson. What the Form Asks For

The form has three sections: general info, claim type, and photo uploads. You can submit whether or not you are logged into your Ferguson.com account, though logging in may autofill some contractor fields.1Ferguson. HVAC Warranty

General Info

The contractor side takes your business name, Ferguson account number, email, phone, and business address. The homeowner side takes the homeowner’s first and last name, phone number, and the installation address.1Ferguson. HVAC Warranty

Claim Type

The fields in this section change based on what you are claiming. There are three paths.

For a parts claim: unit model number, unit serial number, failed part number, replacement part number, failure code, install date for the part, fail date, Ferguson invoice number for the replacement, and a PO or reference number.

For a full unit claim: equipment line manufacturer, failed unit model and serial number, replacement unit model and serial number, reason for failure, install and failure dates for the unit, and the manufacturer’s authorization or case number.

For a compressor or evaporator coil claim: the same fields as a parts claim, plus the labor amount requested and whether the failed part is already at your local Ferguson branch.1Ferguson. HVAC Warranty

Every claim type includes an open text field for an explanation of the service performed. Use it. Diagnostic findings and a short description of the work give the manufacturer’s reviewer context that bare part numbers do not. Copy model and serial numbers directly off the rating plate; a single transposed digit will not match the manufacturer’s production records and the claim will stall.

Photos

For full unit claims, photograph the rating plate on both the failed unit and the replacement unit. For compressor claims, photograph the rating plate on both compressors. Files must be JPG, JPEG, PNG, or GIF, and the combined upload cannot exceed 7 MB.1Ferguson. HVAC Warranty

Take the photos before the failed equipment leaves the job site. A clear, well-lit shot that shows the model number, serial number, and any manufacturer stamps is what the reviewer needs. Blurry images come back as retake requests, which costs you time.

Submitting and What Comes Next

The online form is the only accepted submission method. Ferguson stopped accepting paper warranty forms at branch counters on July 31, 2025.1Ferguson. HVAC Warranty The 30-day deadline is a hard one. The site does not describe a grace period or an extension process, so file as soon as the repair wraps up.

Once submitted, the form routes to Ferguson’s HVAC Central Warranty team, which forwards it to the manufacturer for review. Ferguson does not publish a processing timeline; it depends on the brand and the nature of the failure. When the manufacturer approves, the warranty team posts a credit to the contractor’s Ferguson account and notifies whoever submitted the form.1Ferguson. HVAC Warranty

Some claims require you to return the failed part. If so, the warranty team reaches out with instructions, either routing the return through your local Ferguson branch or sending a prepaid shipping label. You do not need to guess whether a part needs to go back; the team or the branch starts that process.1Ferguson. HVAC Warranty

Why Claims Get Rejected

The common failures on Ferguson claims cluster around the same handful of issues. Most are preventable.

  • Filing more than 30 days after the repair date.1Ferguson. HVAC Warranty
  • No Ferguson invoice for the replacement part because it was sourced elsewhere.1Ferguson. HVAC Warranty
  • A full unit claim submitted without a valid manufacturer authorization or case number.1Ferguson. HVAC Warranty
  • A serial number that is missing, unreadable, or does not match the manufacturer’s records.
  • Equipment that was never registered with the manufacturer within its deadline, so the extended warranty period never applied and the shorter base period has already expired.
  • Missing maintenance records when the manufacturer requires annual professional servicing to keep coverage valid.
  • Signs of improper installation, such as incorrect sizing, poor ductwork, wrong refrigerant charge, or faulty wiring.
  • Repairs done by unapproved technicians when the warranty terms require authorized labor.

Keep a clean paper trail from installation forward: registration confirmation, maintenance invoices, and a photo of the rating plate on file. When something fails, the documentation is already in hand and the form takes a few minutes instead of a few days.
