How to Apply for a Schengen Visa From the USA: Documents and Fees

If you live in the United States on a green card, work visa, or student status and want to visit Europe, applying for a Schengen visa from the USA involves five steps: identify the right consulate, assemble a specific document package, book a biometrics appointment, pay a €90 fee, and wait roughly 15 days for a decision. The visa covers short stays of up to 90 days within any rolling 180-day period across the 29 countries in the Schengen Area.1European Commission. Visa Policy

Who Needs to Apply

U.S. citizens don’t need a Schengen visa for short trips. The requirement applies to non-citizen U.S. residents whose nationality isn’t on the visa-free list: green card holders, H-1B workers, F-1 and J-1 students, L-1 transferees, and most other non-immigrant visa holders.2VFS Global. Schengen Visa for Tourism – Lithuania Some passports qualify for visa-free entry regardless of where the holder lives, so check whether your country has an agreement with the Schengen Area before you start.

Remember that the 90-day allowance isn’t per trip. It’s calculated by looking back 180 days from any date you’re in the zone and totaling your days present. The European Commission has a free short-stay calculator you can use to check before booking flights.3European Commission. Short-Stay Calculator

Pick the Right Consulate

Apply at the consulate of the country where you’ll spend the most time. Visiting France for five days and Germany for three? File with the French consulate. If two countries split the trip evenly, you file with the country you’re entering first.4European Commission. Applying for a Schengen Visa Filing in the wrong place gets your application rejected, and the fee is non-refundable.

Most Schengen consulates in the U.S. outsource intake to companies like VFS Global, TLScontact, or BLS International. These centers handle scheduling, document collection, and fingerprinting; the consular staff at the embassy make the actual visa decision. Which provider you use depends on your destination and your state of residence. Consular jurisdiction is enforced strictly by state, so a New York resident generally cannot file through a Washington, D.C. center unless that office covers New York. Check the destination country’s embassy website before booking anything.

Documents to Gather

Passport and U.S. Status

Your passport must be valid for at least three months beyond your planned departure from the Schengen Area, contain at least two blank pages, and have been issued within the previous ten years.5VFS Global. Regulation (EC) No 810/2009 – Community Code on Visas A passport that expires two months after your return date will sink the application even if everything else is right.

You’ll also need original proof that you’re lawfully in the United States and can return after the trip. Green card holders bring the physical Permanent Resident Card. F-1 students bring the visa stamp with a currently endorsed I-20. J-1 exchange visitors bring the DS-2019. H-1B workers bring the visa and a recent approval notice.6Consolato Generale d’Italia Chicago. Tourism (Schengen/Short Term Visa) The consulate wants confidence that you won’t overstay in Europe because you have somewhere to return to.

Financial Proof

Consulates want three months of bank statements showing enough to cover the trip. There is no single Schengen-wide minimum. Each country sets its own daily figure: France asks for €120 per day without prepaid lodging, Spain about €113, Germany roughly €45, and Belgium €95 if you’re staying at a hotel. Your statements should show enough to cover the destination country’s rate for every day you plan to be there.

Travel Medical Insurance

Insurance is mandatory. The policy must provide at least €30,000 in coverage for emergency medical treatment, hospitalization, and repatriation, and it must be valid in every Schengen country for your full stay.7NetherlandsWorldwide. What Kind of Insurance Do I Need When Applying for a Visa for the Netherlands? Compliant policies typically cost $30 to $80 for a two-week trip. Buy it before your appointment; you’ll submit the policy document with the application.

Application Form and Trip Documents

Every applicant fills out the Harmonised Application Form, the standard document used across all Schengen consulates.8European Commission. Harmonised Application Form for Schengen Visa Fill in every field carefully. Your employment details, purpose of travel, and trip dates must match the supporting documents. Inconsistencies get applications flagged for extra scrutiny.

Alongside the form, plan to submit:

  • A confirmed round-trip flight itinerary covering entry and departure.
  • Hotel reservations for every night, or a signed invitation letter from a private host.
  • A recent biometric-standard passport photo (white or light background, taken within the last six months).
  • A cover letter explaining your itinerary for tourism, or a formal invitation from the host company for business travel.

If you’re employed in the U.S., most consulates also want a letter from your employer on company letterhead, with original signature and contact information, confirming your job title, salary, start date, approved leave dates, and expected return to work. Self-employed applicants bring business registration documents and business bank statements instead.

Extra Paperwork for Minors and Students

When a minor travels with only one parent, the absent parent must provide a notarized consent form authorizing the trip, typically notarized within the past year, along with a copy of their passport. If the child travels with neither parent, both must provide notarized consent, and the accompanying adult may need to show guardianship documentation.

F-1 and J-1 students should add a school letter confirming enrollment, good standing, field of study, and expected graduation date. Check the travel signature on your I-20 or DS-2019 before the appointment. An expired endorsement is a common reason applications stall, because it raises doubts about the student’s U.S. immigration status.

Fees

As of June 2024, the Schengen visa fee is €90 for adults and €45 for children ages 6 to 12. Children under 6 pay nothing.9Migration and Home Affairs. Schengen Visa Fee Increased as of 11 June 2024 The fee is non-refundable, even after a denial. Some nationalities pay reduced rates under bilateral agreements. Applicants from Armenia, Azerbaijan, and Belarus, for example, pay €35.4European Commission. Applying for a Schengen Visa

On top of the government fee, the outsourced service provider charges its own service fee, usually €20 to €30, which covers document handling, biometric collection, and passport return. Payment methods vary by center. Most accept credit cards; some require bank drafts or money orders payable to the embassy.

Book the Appointment and Give Biometrics

Once your paperwork is ready, book through the consulate’s or provider’s online portal. During summer and holiday seasons, slots at popular consulates fill up three to four weeks out. The Visa Code lets you apply up to six months before your trip, so early booking is a real advantage.

At the appointment, staff check that your file is complete and collect biometrics: a digital photo and scans of all ten fingerprints. That data goes into the Visa Information System, where it’s stored for five years.10European Commission. Visa Information System If you gave fingerprints for a Schengen visa within the past five years, the consulate can reuse the stored data. Children under 12 don’t get fingerprinted.

Processing Time

Standard processing runs 15 calendar days from the day the consulate receives your file.11Swiss Federal Department of Foreign Affairs. Application for Schengen Visa and Procedure When additional scrutiny is required, sometimes because a member state must be consulted about applicants of certain nationalities, the timeline can extend to a maximum of 45 calendar days. Straightforward tourism applications from U.S.-based applicants usually land inside the 15-day window.

Track your file through the provider’s portal using the reference number on your appointment receipt. Once a decision is made, the consulate returns your passport to the processing center. You can collect it in person or pay for courier delivery. If approved, the visa sticker inside your passport shows the validity dates and the total number of days you’re allowed to stay.

If Your Visa Is Refused

A refusal notice has to state the specific reasons and inform you of your right to appeal.12openlaws. Article 32 – Refusal of a Visa Common grounds include weak financial proof, doubts about your intention to leave the Schengen Area, missing documents, or insurance that doesn’t meet the minimum. The letter is useful because it tells you exactly what needs fixing.

Appeal procedures vary by country and are described in the refusal notice. Some consulates offer a formal reconsideration process, sometimes called a “remonstration.” Others send you to the courts of that member state. Appeal deadlines are tight, often around one month from the decision date.

There’s no mandatory waiting period before reapplying. You can submit a new application the day after a denial, but doing so without addressing the stated problems just burns another non-refundable fee. Fixing the underlying issues and filing a fresh, stronger application is usually faster and more effective than a formal appeal.

What Changes at the Border in April 2026

The EU’s Entry/Exit System is scheduled to be fully operational on April 10, 2026, replacing manual passport stamping.13European Commission. Entry-Exit System The application process itself doesn’t change, but every non-EU traveler entering or leaving the Schengen Area will have a facial photo taken and fingerprints scanned at the border. Children under 12 still get the facial scan but skip fingerprinting. Your first crossing after launch will take longer while the system enrolls your biometrics; later crossings should move faster because the data is on file. The system also tracks how many of your 90 allowed days you’ve used, so border officers will see in real time whether you’re still within your limit.
