To cancel a ChatGPT Business subscription, the workspace owner signs in, opens Workspace settings, goes to the Billing tab, selects Manage plan, and clicks Cancel subscription. The whole process takes about two minutes. Your workspace keeps working until the end of the billing period you already paid for, and OpenAI does not issue prorated refunds for the time remaining except in a few regions.
Only the Workspace Owner Can Cancel
Billing changes are locked to the workspace owner account. Regular members cannot cancel, and neither can users who hold admin rights for day-to-day workspace management. If you are not the owner, find the person who originally set up and paid for the workspace. That person also occupies a paid seat, so they are usually an active user rather than someone sitting silently in the background.
The Cancellation Steps
The flow is the same whether you are billed monthly or annually.
- Sign in to ChatGPT using the workspace owner account.
- Click your profile icon in the bottom-left corner and choose Workspace settings.
- Open the Billing tab.
- Select Manage plan from the dropdown.
- Click Cancel subscription and confirm.
OpenAI asks why you are canceling and shows a couple of confirmation screens before the final step. Once you confirm, the dashboard displays your scheduled expiration date. Export Workspace Data First
The self-serve data export that Plus and Free users have under Data Controls is not available for Business or Enterprise accounts.2OpenAI Help Center. If your team has created anything in the workspace worth keeping, coordinate the pull with your admin before the subscription term ends. Once the paid period closes, the workspace is deactivated and users report being unable to load chat history or projects. OpenAI’s policy says chats, files, and canvas documents are retained indefinitely when a member is removed from an active workspace,4OpenAI Help Center. Reduce Seats Instead if the Problem Is Cost
If the plan still fits but you are paying for seats you don’t use, lower the seat count rather than canceling. From Workspace settings, open Billing, then Plan, and update the number of seats. The minimum to keep a workspace active is two standard seats. The reduction takes effect on your next billing cycle, not immediately, and OpenAI does not refund unused seats mid-cycle on either monthly or annual plans.5OpenAI Help Center. Refunds Are Limited
OpenAI’s refund window is 14 days from the charge, and it is intended for accidental purchases or unintentional renewals. Subscribers in the EU, UK, or Turkey are eligible for a prorated refund if they cancel within 14 days of purchase. Enterprise Agreements Work Differently
If your organization is on an Enterprise plan, there is no cancel button. These contracts are governed by a formal services agreement, and ending one requires written notice at least 30 days before the next renewal term begins. Miss that window and the contract renews automatically.
