How to Cancel a ChatGPT Team Subscription: Steps, Refunds, and Seat Reductions

Canceling a ChatGPT Team subscription takes about two minutes if you have the right permissions. Open your Workspace Settings, go to Billing, click Manage Plan, and work through the cancellation prompts until you see a confirmation that your plan will expire at the end of the current billing cycle. One wrinkle before you start looking: OpenAI renamed Team to ChatGPT Business on August 29, 2025, so the plan you’re canceling now appears under that name in the interface.1OpenAI Help Center. ChatGPT Business Rename FAQ The workspace, billing, and features carried over unchanged.

Who Can Cancel

Only users with the Owner or Admin role can access billing settings and cancel the subscription.2OpenAI. Managing Members, Seat Types, and Roles in ChatGPT Business Regular Members and Analytics Viewers can see plan information but can’t change it. If you’re not sure what role you have, open Workspace Settings and check the Members tab. If you need Owner access and don’t have it, the current Owner has to either promote you or handle the cancellation themselves.

The Cancellation Steps

First, confirm you’re in the right workspace. If you have both a personal ChatGPT account and a Business workspace, the switcher in the top-left corner toggles between them, and the cancellation only affects whichever one you’re operating in.

Once you’re in the correct Business workspace:

  • Go to Workspace Settings and click the Billing tab.
  • Click Manage Plan (or Manage Subscription). This opens a billing portal, typically powered by Stripe, where plan changes happen.
  • Select the option to cancel. You may be asked why you’re leaving or offered a discount. Work through the prompts to the final confirmation screen.
  • Click the final confirmation button. The status should update to show your plan ends at the close of the current billing cycle.

Watch for a confirmation email or an on-screen notice with the cancellation date. That’s your proof the request went through. If the status still reads “Active” with no end date, the cancellation didn’t complete and you’ll need to run through it again.

Download Your Invoices First

This is the step most administrators skip and later regret. While the subscription is still active, go to Workspace Settings, open the Billing tab, and click Invoices to see your full payment history.3OpenAI Help Center. How Can I Find My Past ChatGPT Invoices You can also reach invoices through Manage Plan, then Payment Method, which opens the billing portal. Download whatever your finance team needs now, because OpenAI does not automatically email PDF invoices, and retrieving them after the workspace goes inactive may require contacting support.

While you’re still inside the workspace, this is also your window to copy or screenshot any Business conversations you want to keep. OpenAI’s self-service data export tool only works for individual accounts like Plus or Pro, not Business.4OpenAI Help Center. How Do I Export My ChatGPT History and Data

What Happens After You Cancel

Cancellation doesn’t cut off access immediately. Your workspace stays fully functional through the last day of the billing period you’ve already paid for.5OpenAI Help Center. How Do I Cancel My ChatGPT Subscription Every team member keeps access to shared GPTs, chat history, and collaboration tools until that date. After the period expires, the workspace moves to an inactive state and new conversations and advanced features stop working.

Your data isn’t deleted. Chats, files, and canvas documents in a Business workspace are retained indefinitely, and any shared GPTs get reassigned to the workspace Owner.6OpenAI Help Center. Data Retention When a Member Is Removed From a Workspace If you resubscribe later, your historical data should still be there. Retained doesn’t mean easily accessible, though. Without an active subscription, you can’t browse old conversations in the interface, so treat the remaining active days as your review window.

Requesting a Refund

Refunds don’t go through the billing portal. If you cancel mid-cycle and believe you’re owed a partial refund, log in to the OpenAI Help Center and submit a refund request through their support form.7OpenAI Help Center. How Do I Request a Refund for My ChatGPT Subscription Annual subscribers who cancel several months in generally have a stronger case for a prorated refund than someone on a monthly plan three weeks into the cycle. OpenAI has not posted a public guarantee of prorated refunds, so set your expectations accordingly.

Reducing Seats Instead of Canceling

If cost is the real problem, you can shrink the workspace rather than close it. The minimum is two seats, so you can’t drop to a single user and keep the Business plan.8OpenAI Help Center. ChatGPT Business – Models and Limits Removing seats mid-cycle doesn’t produce an immediate credit on a monthly plan; you’re billed for the current seat count through the end of the month, and the lower count takes effect on the next invoice.9OpenAI Help Center. Managing Billing and Seats in ChatGPT Business Annual plans reconcile through monthly true-up cycles, so removed seats won’t change the bill until the next reconciliation. Going from ten seats to three is a lot cheaper than paying for the full roster while you decide whether to cancel outright.
