How to Cancel a HubSpot Account Without Losing Data

To cancel a HubSpot account, you turn off auto-renewal on your paid subscriptions, wait for the current term to expire, and then delete the account itself. Those are two separate actions, and HubSpot does not allow mid-contract cancellations: turning off auto-renewal stops the next renewal, but you keep paying through the end of the term you already committed to, and prepaid fees are non-refundable.1HubSpot. HubSpot Customer Terms of Service Get the sequence and timing right and you avoid an accidental renewal, lost data, or a stranded domain.

Who Can Cancel the Account

You need Billing admin permissions on your user account. Without that specific permission, the cancel auto-renewal option simply won’t appear in your interface.2HubSpot. Downgrade or Cancel Your HubSpot Subscription A common misconception is that Super Admin access is enough. It isn’t. Super Admins reach most account tools, but billing is governed by a separate permission that any account admin can grant.3HubSpot. HubSpot User Permissions Guide

If you aren’t the billing admin, ask whoever is to either cancel on your behalf or add the permission to your user. Navigating to Account & Billing without it shows only a read-only view.

Export Your Data First

Once your subscription expires and the account is deleted, access is gone. HubSpot has no mechanism to merge data into another account later, so exports done before cancellation are your only clean copy.4HubSpot. Export Web Content and Data

CRM Records

In the CRM, open the record type you need (contacts, companies, deals), load the “All” view to capture everything, and click Export in the top right. Choose CSV, XLSX, or XLS. Under Customize, select “All properties and associations on records” rather than just the properties visible in your current view. That option pulls historical notes, custom fields, and association data, not just the on-screen columns.5HubSpot. Export Your Records Download links expire after 30 days, so save files locally as soon as they arrive.

Pages, Landing Pages, and Blog Posts

Under Content, pick Website Pages, Landing Pages, or Blog, open the Actions dropdown, and choose “Export all pages and blog posts (HTML).” HubSpot emails a download link, and the file includes template styles, which helps if you plan to rebuild the look on another CMS. Blog metadata like titles, URLs, and language tags comes through a separate “Export blog posts” option in the same Actions menu.4HubSpot. Export Web Content and Data

Workflows

In Automation, open Workflows and use “Export view” from the Table actions dropdown for a spreadsheet listing. For a visual of an individual workflow, open it and use File, then “Export as .PNG.” These exports don’t include performance data, workflow history, or the content of emails used inside the workflow.6HubSpot. Export Your Content and Data Export those email templates separately if your automations depend on them.

Disconnect Integrations and Custom Domains

Audit your connected apps before you cancel. Third-party tools linked through the App Marketplace or private apps lose access once the account is deleted, but the connections on the other side don’t always clean themselves up. Uninstall anything you no longer need so stale API tokens aren’t left floating around.

Private apps that use access tokens for custom integrations require Super Admin permissions to manage. Find them under Development, then Legacy apps. Removing the private app revokes its access token, which is the cleanest way to cut off API access.7HubSpot Developers. Legacy Private Apps

Custom domains need their own attention. Deleting your HubSpot account does not release the domain automatically. It stays reserved in HubSpot’s system, which can block you from connecting it to another HubSpot portal later or cause DNS confusion. Disconnect the custom domain in Settings before you delete the account, and update DNS records at your registrar to point away from HubSpot.

Turn Off Auto-Renewal

With data saved and integrations cleaned up, do the cancellation itself:

  • Click your account name in the top right, then Account & Billing.
  • Open the Subscriptions tab.
  • In the Auto-renewal terms section, click Cancel auto-renewal.
  • Select the products you want to cancel. To cancel everything, select all products.
  • Click Next, choose a cancellation reason, and click Next again.
  • Review the details and click Cancel auto-renewal to confirm.2HubSpot. Downgrade or Cancel Your HubSpot Subscription

Your subscription stays active through the end of your current commitment term. If you signed a 12-month contract and cancel at month eight, you are still billed for the remaining four months. HubSpot’s terms are explicit that mid-contract cancellations are not permitted and remaining time is not refunded.1HubSpot. HubSpot Customer Terms of Service

Check the billing dashboard right after you finish and confirm the auto-renewal status reflects the change. Take a screenshot. If a renewal charge appears later that shouldn’t, that screenshot is your evidence.

Downgrading Instead of Canceling

If you want to drop a paid tier but keep using HubSpot’s free tools, downgrading is a separate path. The self-service interface doesn’t support it for Professional or Enterprise plans. Contact a HubSpot representative at least five business days before your renewal date. Starter subscribers can submit an email support ticket; Professional and Enterprise subscribers should reach out to their HubSpot Contract Manager.2HubSpot. Downgrade or Cancel Your HubSpot Subscription A downgrade follows the same mid-contract rule and takes effect at renewal, not immediately. You keep your portal, your data, and free-tier CRM access instead of wiping everything.

Delete the Account

Canceling auto-renewal stops the billing. Deleting the account wipes the portal. HubSpot will not let you delete an account that still has active subscription commitments, even if auto-renewal is already off.2HubSpot. Downgrade or Cancel Your HubSpot Subscription

Once your subscriptions have fully expired:

  • Click your account name in the top right, then Account & Billing.
  • Click the Delete Account tab.
  • Click Delete account.
  • Enter your Hub ID when prompted, then click Yes, delete to permanently delete the account.2HubSpot. Downgrade or Cancel Your HubSpot Subscription

Free accounts with no paid subscriptions can skip the auto-renewal step and go straight to deletion through the same Account & Billing path. The Hub ID confirmation is still required.

Don’t Miss the Renewal Window

HubSpot’s Customer Terms of Service state that payment obligations are non-cancelable and amounts paid are non-refundable. Your subscription renews automatically for the shorter of your prior term length or one year unless you turn off auto-renewal before the current term ends.1HubSpot. HubSpot Customer Terms of Service Miss the window by a day and you can be locked into another full year. The terms don’t specify a grace period after renewal.

The safest move is to turn off auto-renewal as soon as you’ve decided to leave, even if the term still has months to run. The cancellation won’t take effect early; it only prevents the next renewal from firing. Put the renewal date on a calendar with a reminder set well in advance of it.
