To cancel a Nextiva account, the account administrator must contact Nextiva’s Customer Care team by email at service@Nextiva.com or by phone at 1-800-983-4289 before the current service term expires. Have the account ID and administrator PIN ready, and if you’re keeping your business phone numbers, port them to a new provider before you cancel — not after.
Get Your Account Details Together First
Only the account administrator can authorize a cancellation, so make sure you’re the right person to call or that the right person is on the line. You’ll need the primary account holder’s full name as listed on the service agreement, the account ID (in the admin portal under billing or account settings), and the administrator security PIN. Forgotten PINs can be viewed or reset in the admin portal under Manage Users.
Back up anything worth keeping before the account goes dark. Export call logs, download stored voicemails, and save dashboard analytics or reports to a local drive or cloud storage. Once the account is deactivated, that data is gone.
Port Your Phone Numbers Before You Cancel
If you’re moving business numbers to a new provider, start that port while your Nextiva service is still fully active. The FCC’s guidance is explicit: don’t cancel with your current provider before starting service with the new one.1Federal Communications Commission. Porting: Keeping Your Phone Number When You Change Providers Canceling first can release your numbers into the general pool, and getting them back after that is rarely possible.
Your new carrier will have you sign a Letter of Authorization. Pull these details from your Nextiva account before you fill it out:
- Account number, found at the top of your bill or in the online portal
- Transfer or porting PIN — a 4 to 6 digit code the new carrier needs
- Billing telephone number (BTN), the main number on the account
- Company name exactly as it appears on the Nextiva account
- Service address (a physical address, not a P.O. Box)
- The authorized signer designated on the account
Submit one Letter of Authorization per account with your current provider.2Nextiva Help. Porting Your Phone Number to Nextiva Plan to submit the formal porting request at least 10 days before your Nextiva contract ends so the transition has time to finish. Once the new carrier confirms the port is complete, you’re clear to cancel.
How to Submit the Cancellation
Nextiva’s terms specify two ways to request cancellation: email service@Nextiva.com or call 1-800-983-4289. The request has to be made before your current service term expires. The general support line at 800-285-7995 also connects to help and runs 24 hours.3Nextiva. Contact Us
When you call, expect to be routed to a retention team. They’ll verify your identity, confirm the cancellation, and present offers to keep you. That’s standard. If you’ve decided to leave, decline politely and ask to proceed.
You can also open a cancellation ticket in the admin portal through the support section. Include the specific date you want service to end so termination lines up with your billing cycle. Whichever route you use, save every confirmation number, ticket ID, and representative name. If a billing dispute comes up later, that record is your proof the request was made.
After cancellation is processed, you should receive a confirmation email documenting that the account is closed. If nothing arrives within a few business days, follow up. A cancellation that isn’t confirmed in writing isn’t reliably confirmed.
Early Termination Fees
Canceling before your contract term expires triggers an early termination fee. Nextiva’s service agreements set that fee at the total amount owed for the remainder of the term. If you have eight months left on a plan that costs $500 per month, the fee is $4,000, the full value of the remaining months. It applies whether you cancel the whole account or just drop specific lines or features mid-contract.
That math makes timing matter. If your contract is close to its end date, riding out the last few months is often cheaper than paying the penalty. Check your service agreement or call Nextiva to confirm the contract end date before deciding.
Month-to-month customers are in a different spot. Nextiva advertises “cancel anytime” on its pricing page, and without a fixed term there’s no remaining balance to charge against.4Nextiva. Plans and Pricing – Compare Plan Features and Costs If you aren’t sure which plan you’re on, check your billing settings in the admin portal or ask when you call.
Your Final Bill and Charges After Cancellation
Nextiva processes renewals automatically at the start of each billing cycle, charging the payment method on file.5Nextiva. Billing FAQs If your cancellation date doesn’t match your billing cycle date, you may be charged for a full final period instead of a prorated amount. Nextiva’s published materials don’t clearly promise prorated refunds for partial months, so time the cancellation to the end of a billing cycle when you can.
Your authorization for Nextiva to charge the payment method on file stays valid for 30 days after the termination date. Watch your credit card or bank statements for at least two billing cycles after cancellation to catch anything unexpected. FCC Truth-in-Billing rules require telecom providers to clearly identify each charge and the service provider on the bill, so a final invoice should itemize what’s being charged.6eCFR. 47 CFR 64.2401 – Truth-in-Billing Requirements
Return Any Leased Equipment
If you rented or leased IP phones, routers, or other hardware through Nextiva, those devices need to go back after cancellation. Rented phones fall under the terms of the rental contract, and purchased phones still within the return window can be sent back within 120 days of the original purchase date for credit.7Nextiva Help. Hardware RMA Eligibility Requirements Not returning leased equipment typically results in a charge for the full replacement cost of each device.
Ship with a tracked method and save the tracking numbers. Nextiva should confirm receipt. Between the return tracking receipt and the cancellation confirmation email, those are the two documents that protect you if a collections notice turns up months later claiming unreturned equipment or unpaid service.
If You Just Want to Drop Seats, Not Cancel
If the real goal is downsizing rather than leaving, you don’t need to close the account at all. You can remove individual user licenses through the admin portal under My Account, then Licensing, then Manage. The removed license frees up to assign to another user.8Nextiva Support. Creating Users and Assigning Licenses One warning: if you remove all call center licenses from users at a given location, every call center built on that location gets deleted, and that isn’t reversible through the portal. Confirm before you click through.
