To cancel a PandaDoc subscription, sign in as the account owner, open Settings, go to Billing, and select Cancel subscription. The process itself takes about two minutes. What matters more is timing: PandaDoc does not issue refunds, so cancel before your next renewal date, and export your documents before you go.
Only the Account Owner Can Cancel
Billing access is restricted to the account owner. Team members, editors, and workspace admins cannot see or change subscription settings.1PandaDoc. PandaDoc Account Roles If that isn’t you, find whoever set the account up and ask them to cancel or transfer ownership first.
Before you cancel, confirm on the Billing page whether you’re on a monthly or annual cycle and note the renewal date.2PandaDoc. Account Billing and Ownership That date is the deadline that actually costs you money.
The Cancellation Steps
Once logged in:
- Go to Settings, then Billing.
- In the subscription plan area, click Cancel subscription.
- Complete the cancellation form and confirm.
PandaDoc will ask why you’re leaving before finalizing. After you confirm, no further charges are made and your access continues through the end of the current billing period.
If there is no Cancel subscription button, look for a message at the top of the Billing page pointing you to your account manager. This typically applies to Enterprise accounts and custom contracts set up through a sales representative.2PandaDoc. Account Billing and Ownership
When Your Access Ends and Why Refunds Aren’t Coming
Monthly plans renew each month. Cancel before the next renewal day and you won’t be billed again; you keep access through the end of the current month.3PandaDoc. Payment Policy
Annual plans are paid upfront for the year. Canceling mid-term does not trigger a partial refund. You keep access until the annual term expires, and PandaDoc simply won’t charge you at the next renewal.3PandaDoc. Payment Policy
The refund policy is explicit: “No refunds (prorated or otherwise) are provided upon cancellation.”3PandaDoc. Payment Policy The Master Services Agreement adds that all orders are non-cancelable and fees are non-refundable for the duration of the term.4PandaDoc. Master Services Agreement Removing users from a plan mid-term won’t lower the bill either. If you paid for five seats and now need two, you keep paying for five until the term ends. Your only real lever is timing the cancellation before the next renewal.
If you believe you were charged in error or hit a technical billing problem, contact PandaDoc support, but go in knowing what the written policy says.
Export Your Documents Before You Cancel
Download local copies of anything you might need later. Your account doesn’t disappear the moment the subscription ends. The Master Services Agreement gives you 60 days after termination to request access to content still in the system. Downgrading to the Free Plan Instead
If you still need occasional signing, PandaDoc’s free eSign plan may be a better fit than full cancellation. It caps you on documents per year, recipients per document, and templates, but keeps unlimited storage of existing files.6PandaDoc. PandaDoc Free Plan Guide
To switch, open Help in the upper menu, select Contact Support, open the chat in the lower-left corner, choose Ask question, then Account and Billing, then “I’d like to switch to Free.” The chatbot processes the switch. If you have an active paid subscription, the downgrade takes effect at your next billing date, not immediately. Existing documents stay in your account and remain downloadable, but content library items become inaccessible after the switch, so download those first.
