How to Cancel a Visio Subscription: Personal, Business, and Trials

To cancel a Visio subscription, sign in to account.microsoft.com/services if you bought it with a personal Microsoft account, use the Microsoft 365 admin center at admin.microsoft.com if your organization bought it, or cancel through Apple, Google Play, or Amazon if that is where the purchase happened. The route depends entirely on where the subscription was purchased, and using the wrong portal is the main reason people get stuck. Visio Plan 1 runs $5 per user per month and Visio Plan 2 runs $15 per user per month on annual or monthly cycles, so acting quickly matters if you want to stop the next charge.1Microsoft. Compare Visio Options

One boundary worth clearing up first. If the only Visio you use is the free web version bundled with a commercial Microsoft 365 subscription, there is nothing to cancel. That version is enabled by default for commercial subscribers and has no standalone billing of its own.2Microsoft Support. About Visio in Microsoft 365

Cancel a Personal Visio Subscription

Personal subscriptions live at account.microsoft.com. Sign in with the same Microsoft account you used to buy Visio, open Services & subscriptions, find Visio in the list, and select Manage. From there, choose Cancel (the button may read Upgrade or Cancel) and follow the prompts.

You will usually see two choices. Turning off recurring billing keeps your access until the current billing period ends and stops future charges. Canceling immediately ends access sooner and may show a refund amount during checkout.3Microsoft Support. Cancel Your Microsoft Subscription Once you confirm, a confirmation message appears on screen and Microsoft emails a receipt. Keep that email as proof of the cancellation date.

Cancel a Business Visio Subscription

Business subscriptions purchased through a Microsoft 365 work or school account are canceled from the Microsoft 365 admin center at admin.microsoft.com. Only administrators with billing permissions can make the change. Under a Microsoft Online Subscription Agreement, you need at least Billing Administrator access; under a Microsoft Customer Agreement, you need Billing Account Reader or higher.4Microsoft Learn. Understand Your Microsoft Business Billing Account If the admin center tells you that you lack permission, another administrator in your organization has to make the change or assign you the role.5Microsoft Learn. About Administrator Roles in the Microsoft 365 Admin Center

Inside the admin center, open your active subscriptions, select Visio, and follow the cancellation prompts. You have the same two options as personal accounts: turn off recurring billing so the subscription runs to its paid end date, or cancel outright. Turning off recurring billing lets your team keep working through the remaining period.6Microsoft Learn. Manage Recurring Billing in the Microsoft 365 Admin Center

Subscriptions Bought Through Apple, Google Play, or Amazon

If you bought Visio through a third-party store, Microsoft cannot cancel it for you and the cancel option on your Microsoft account page will not work. Cancel through the original platform instead.7Microsoft Support. Unable to Cancel Your Microsoft Subscription

  • Apple App Store: open Subscriptions in your iPhone or iPad settings, or contact Apple support.
  • Google Play: open the Google Play app, go to Payments & subscriptions, and cancel there.
  • Other retailers: contact the retailer’s customer support directly.

Cancel a Free Trial Before It Charges You

Visio free trials convert to paid subscriptions automatically when the trial ends. To avoid the charge, turn off recurring billing before the trial expires. You will not be billed, and you can keep using the trial through its remaining days.8Microsoft Learn. Cancel Your Subscription in the Microsoft 365 Admin Center This is the most common way people end up paying for Visio without meaning to, so set a calendar reminder a few days before the trial ends if you are unsure whether you want to keep it.

Refunds and Early Cancellation

Microsoft does not charge an early termination fee for canceling a Visio subscription, whether you are on a monthly or annual plan.9Microsoft Learn. What’s the Early Termination Fee for Microsoft 365 Plans on Annual Commitment? A refund is a separate question. Eligibility is determined automatically during the cancellation flow, and refunds are most commonly offered when you cancel shortly after a purchase or renewal.10Microsoft Support. Microsoft Subscription Refund Policy

Prorated refunds for the unused part of a billing period are available in a limited set of countries, including Canada, France, Israel, South Korea, and Turkey. Most other countries do not get a prorated refund. If you qualify, the refund amount shows up during the cancellation flow before you confirm.10Microsoft Support. When the Cancel Button Is Missing

A few things can hide the cancel option.

  • Wrong account. You are signed in with a different Microsoft account than the one that owns the subscription. Sign out and sign back in with the right credentials.
  • Already set to expire. If the page shows “Turn on recurring billing” where you expected a cancel button, recurring billing is already off. The subscription will end on the date shown and no further charges will post.
  • Unpaid balance. An outstanding payment can block cancellation until it is cleared.
  • Third-party purchase. Subscriptions bought through Apple, Google Play, or a retailer cannot be canceled through Microsoft’s portal, as covered above.

If none of those fit and the cancel option still is not there, go to support.microsoft.com, describe the issue, and select Get Help to reach a support agent through chat or callback.3Microsoft Support. Cancel Your Microsoft Subscription

Export Your Diagrams First

Once the subscription ends, the Visio desktop app enters reduced functionality mode. You can view and print files but you cannot edit them or create new ones.11Microsoft Support. What Is Reduced Functionality Mode in Microsoft 365 Apps for Enterprise Cloud-stored files eventually get deleted. Export anything you want to keep before you cancel.

In the desktop app, go to File then Export and pick a format. PDF is the safest choice for diagrams you only need to share or reference; for images, you can export as PNG, JPEG, SVG, or EMF. In the web app, use File then Save As and choose Download as PDF or Download as Image.12Microsoft Support. Save a Visio Diagram as a Graphic or Image File To preserve editable originals, download the .vsdx files from OneDrive to your local computer. Those files can be reopened if you resubscribe later or move to a compatible third-party tool.

How Long Your Data Sticks Around After Cancellation

Microsoft moves canceled subscriptions through three stages. For most direct purchases, you have roughly 30 days in an expired state where you lose most functionality but can still reactivate, followed by about 90 days in a disabled state where only administrators can reach the data, and then permanent deletion.13Microsoft Learn. What Happens to My Data and Access When My Microsoft 365 for Business Subscription Ends Enterprise and multi-year volume licensing agreements can extend the expired stage to 90 days. Microsoft guarantees data is not deleted sooner than 90 days after the subscription ends, with an outer limit of 180 days.14Microsoft Learn. Data Retention, Deletion, and Destruction in Microsoft 365 The window sounds comfortable, but the early stages pass quickly and your files become harder to reach at each step. Exporting before you cancel is the only reliable safeguard.
