How to Cancel Motive ELD: Renewal, Records, and Hardware Return

To cancel your Motive ELD service cleanly, time the request to your contract’s renewal date, submit it in writing, export your records of duty status before you lose dashboard access, return the leased hardware, and have a replacement ELD installed and tested before the old service ends. Miss any of those steps and you can face early-termination charges, hardware replacement fees, or an FMCSA violation at a roadside inspection.

Check Your Renewal Date Before You Do Anything Else

Pull up your original order form or Master Service Agreement and find the subscription term’s end date. Motive’s cancellation policy auto-renews subscriptions when that date arrives: annual plans renew for another 12 months, monthly plans renew month to month.1Motive. Motive Cancellation Policy The policy doesn’t name a specific notice window, but leaving it to the last minute is risky because processing takes time and any delay pushes you into a fresh billing cycle.

Canceling before the current term ends is expensive. Motive can charge the card on file for every remaining month in the contract, at 100% of what you’d owe through the end of the subscription term.1Motive. Motive Cancellation Policy Sign a 12-month deal, try to leave after month four, and you can be billed for the remaining eight months in a lump sum. In almost every case it costs less to ride out the term and cancel at renewal.

Terminating for Cause

There is one exception. If Motive materially breaches the agreement through persistent service outages, uncorrected billing errors, or failure to deliver contracted features, you may have grounds to terminate for cause. Standard MSA language typically requires written notice describing the breach and a 30-day cure period before you can walk away without penalty. Document everything and send the notice through a method that creates proof of delivery.

How to Submit the Cancellation

Motive accepts cancellations by email at support@gomotive.com or by phone at 855-434-3564.1Motive. Motive Cancellation Policy Use email. It creates a timestamped record, which is the evidence you’ll want if a dispute later arises about when you actually requested cancellation. Include your account ID, DOT number, the legal business name exactly as it appears on the account, and the number of units you’re deactivating. Mismatched details slow processing.

Expect a retention call. A representative will likely offer discounts or contract modifications. If your decision is made, stay direct and confirm three things: the final service date, the last billing amount, and whether written confirmation will follow. If no confirmation email arrives within 48 hours, follow up. A cancellation you can’t prove happened is a cancellation that didn’t happen.

For contested cancellations, including terminations for cause or fee disputes, send a parallel notice by certified mail with return receipt requested. A signed return receipt is strong evidence that the recipient received your notice.

Export Your Records Before You Lose Dashboard Access

This is the step most fleets botch, and it has the sharpest regulatory teeth. Once the service ends, the fleet dashboard and everything stored on it go away. Federal rules require motor carriers to retain records of duty status for every driver for at least six months from the date of receipt.2eCFR. 49 CFR 395.8 – Driver’s Record of Duty Status If a DOT audit lands and you can’t produce those records because your Motive account is closed, recordkeeping penalties run up to $1,584 per day, with a maximum of $15,846 per violation.

To export, log into the Fleet Dashboard, open “Compliance” in the left-hand menu, and select “Send output file.” You can filter by driver, vehicle, and date range.3Motive. Sending Output Files – Motive Help Center The file follows the standardized FMCSA format and includes duty status changes, engine hours, vehicle miles, location data, edits and annotations, and recorded malfunctions. It can be emailed as an attachment or sent by web service.

Run the export covering at least the previous six months. Archive the files somewhere your compliance team can reach independent of any ELD platform, and open and read the files to confirm they’re usable before the account goes dark. Driver profiles missing a license number and issuing state, vehicle profiles missing a complete VIN, or drivers without a DOT number and carrier name selected will block the export, so clean the profiles first.3Motive. Drivers also need to retain copies of their own records of duty status for the previous seven consecutive days while on duty.2eCFR. 49 CFR 395.8 – Driver’s Record of Duty Status After the switch, that means carrying printouts or accessible digital copies from the old system even once it’s no longer your active ELD.

Returning Motive Hardware

Leased or warrantied hardware has to come back. Replacement fees for unreturned devices run from $150 for a basic vehicle gateway up to $600 for a dual-facing AI dashcam, with most dashcam models falling between $250 and $500. Smaller accessories range from $20 for a beacon sensor to $159 for a driver ID reader. Those charges post to the payment method on file if you don’t return devices within 30 days of receiving replacement hardware under warranty, or if returned devices come back damaged in ways that void the warranty.4Motive. Ship everything with tracking and insurance. Record serial numbers from the back of each device or from the dashboard before your account closes, and keep a spreadsheet matching serial numbers to tracking numbers. That paper trail is your defense if Motive later claims a shipment never arrived.

Keep Drivers Compliant Through the Switch

The gap between canceling one ELD and fully deploying another is where carriers get into real trouble. The ELD mandate has no grace period for provider transitions. If a driver is required to use an ELD, a functioning, registered device has to be in the cab.

Install and test the new system before Motive service terminates. If the budget allows, overlap the two services for at least a week. The cost of running both briefly is trivial compared to a citation at a roadside inspection.

Every truck should carry blank paper log grids sufficient for at least eight days, plus an instruction sheet covering malfunction reporting and recordkeeping.5eCFR. 49 CFR 395.22 – Motor Carrier Responsibilities Paper logs are your fallback for installation hiccups or early-use malfunctions. If a driver uses both the old and new ELDs during the switch and the data can’t transfer between them, the driver must either manually enter the missing duty status into the current device or carry a printout from the other system covering the relevant days.6FMCSA. ELD Fact Sheet – English Version

Drivers Who May Not Need a Replacement ELD

Not every driver has to transition. Several categories are exempt from the ELD mandate entirely: drivers who qualify for the short-haul or timecard exceptions, drivers who keep records of duty status no more than eight days in any 30-day period, drivers in drive-away-tow-away operations where the driven vehicle is the delivered commodity, and drivers operating vehicles manufactured before model year 2000.7FMCSA. Who Is Exempt from the ELD Rule? Exempt drivers still have to meet hours-of-service recordkeeping through paper logs or logging software, but they don’t need a replacement device.

A Working Timeline

Walk every step back from the renewal date.

  • 60+ days out: confirm the exact term end date in your MSA and start evaluating replacement providers.
  • 45 days out: submit the cancellation request to support@gomotive.com and confirm you have a support ticket number.
  • 30 days out: begin installing and testing the new ELD across the fleet; verify paper log supplies in every cab.
  • 14 days out: export logs, inspection records, and driver data from the Motive dashboard and archive the files outside the platform.
  • Final service date: confirm the new ELD is operational on every vehicle and start collecting Motive hardware.
  • Within 30 days after service ends: ship hardware back with tracking and insurance, and keep the serial-to-tracking records.

Auditors don’t care which provider generated the logs. They care that you can produce them.
