How to Cancel QuickBooks Subscription: Online, Desktop, and Payroll

To cancel a QuickBooks subscription, sign in to QuickBooks Online as the primary admin, open Settings (the gear icon), select Subscriptions and billing, and choose Cancel. QuickBooks Desktop works differently: you have to call Intuit support at 800-446-8848, and you should do it at least five days before your next billing date to avoid another charge. Before you cancel either product, export your data and resolve any open payroll or tax filing obligations, because your account goes read-only for a year after cancellation and is deleted after that.1QuickBooks. Export Your Data First

Once you cancel, QuickBooks Online switches to read-only mode. You can still view records and run reports for 12 months, but you cannot add or edit anything. After that window closes, Intuit deletes the company data, and it cannot be recovered.2QuickBooks. What Happens to My QuickBooks Online Data After I Cancel

QuickBooks Online lets you export reports and lists as Excel files bundled into a single zip. That covers posting transactions such as invoices, receipts, and bills.3QuickBooks. Export Your QuickBooks Online Data At a minimum, pull:

  • Chart of Accounts
  • Profit and Loss statement
  • Balance Sheet
  • General Ledger
  • Trial Balance
  • Reconciliation reports for every bank and credit card account

Several categories need separate exports. Estimates, purchase orders, customer statements, recurring templates, and your products and services list each have their own export paths inside the platform.3QuickBooks. Export Your QuickBooks Online Data Attachments like receipt images and uploaded documents also require a dedicated export: open Settings, select Attachments under the Lists column, choose the files you want, and use Batch actions to export as a zip.

Reconciliation history matters more than people expect. If a bank discrepancy or an audit question comes up later, that is the record that proves a transaction was properly matched. Download it while you have full access rather than fighting the read-only interface later.

Cancel a QuickBooks Online Subscription

Only the primary admin can cancel. If you open Subscriptions and billing and do not see a cancel option, the admin role sits with someone else on the account.

The cancellation flow:

  1. Sign in to QuickBooks Online from a computer browser. The Subscriptions and billing page is not available through the mobile app.
  2. Open Settings and select Subscriptions and billing.
  3. Select Cancel and follow the confirmation prompts.

QuickBooks will show a few confirmation screens and may offer retention discounts or alternative plans along the way. When you finish, Intuit sends a confirmation email to the admin address on file. Save that email; it is your proof of the cancellation date.1QuickBooks. Change or Cancel Your QuickBooks Online or Intuit Enterprise Suite Subscription

You can also open the QuickBooks Assistant chat panel, type “cancel,” select Cancel subscription, and follow the steps from there.

Cancel a QuickBooks Desktop Subscription

QuickBooks Desktop cannot be canceled through the software or a web portal. Call Intuit customer support at 800-446-8848 and ask to cancel. To avoid being billed for another cycle, place the call at least five days before your next billing date.

If You Subscribed Through Apple or Google

Subscriptions purchased through the Apple App Store or Google Play Store cannot be canceled inside QuickBooks. The billing runs through the app store, so the cancellation has to happen there.1QuickBooks. Change or Cancel Your QuickBooks Online or Intuit Enterprise Suite Subscription

On an Apple device, open Settings, tap your name at the top, select Subscriptions, find QuickBooks, and cancel. Apple recommends canceling a trial at least 24 hours before it ends so you are not charged.4Apple Support. If You Want to Cancel a Subscription From Apple On Android, open the Google Play app, tap your profile icon, go to Payments and subscriptions, then Subscriptions, and cancel the QuickBooks entry. Refund requests for app store purchases also go through the app store, not Intuit.

Handle Payroll, W-2s, and 1099s Before You Cancel

This is where cancellations turn expensive. If you cancel before the tax year ends, you may lose the ability to automatically generate and deliver W-2s to employees or 1099s to contractors, and the IRS attaches real penalties to missed or late filings.

If you have already canceled and need the forms, you have two ways forward. The simpler one is to resubscribe to payroll temporarily. Sign in, open Settings, select Subscriptions and billing, and choose Resubscribe for the payroll service. As long as you are still inside the 365-day data retention window, your payroll data will be there. The manual route is to buy pre-printed W-2 kits and complete them from your QuickBooks payroll reports; for 1099s, run reports listing contractors and payment amounts and file them yourself or through another service.

Pending payroll tax payments need attention too. If QuickBooks was set to handle tax deposits and form filings automatically, payments already collected or in process cannot be canceled through the software.5Intuit QuickBooks. Cancel or Delete Payroll Tax Payments and Forms Confirm every outstanding tax liability is paid or scheduled, and have a plan for future payroll tax obligations outside QuickBooks before you close the account.

Payroll data stays available in the same one-year read-only window through Intuit QuickBooks Workforce, and Desktop Payroll Assisted users can reach past tax returns through the Canceled Client Payroll Tax Center.6QuickBooks Help. Cancel Your Payroll Subscription

QuickBooks Payments Is a Separate Cancellation

Canceling QuickBooks Online does not close a QuickBooks Payments (merchant services) account. To close it, sign in to the Merchant Service Center at merchantcenter.intuit.com as the admin, open the Account tab, select Account Profile, then Close Account. Pick a reason from the dropdown and submit. Intuit sends a confirmation email within one business day, and you keep access to reports, statements, and tax forms in the Merchant Services Center for up to 12 months after closing.7QuickBooks Help. Refunds and Mid-Cycle Timing

Intuit offers a 60-day money-back guarantee on annual QuickBooks Online subscriptions and QuickBooks Desktop products. Cancel within 60 days of purchase and you can get a full refund, excluding shipping and handling for physical products.8Intuit. QuickBooks Return Policy

The guarantee does not cover monthly QuickBooks Online subscriptions or renewals. If you cancel a monthly plan partway through the cycle, you will not get a prorated refund. Your subscription simply runs through the end of the paid period, and then the account flips to read-only. Practically, that means if you were just charged for a new month, there is no rush to export the same day; use the paid time you already have.

What Happens After You Cancel

After cancellation, your QuickBooks Online account stays in read-only mode for one year. You can view your books, run reports, and export data to Excel or to a desktop version of QuickBooks, but you cannot add new transactions or edit existing ones.2QuickBooks. After 12 months, the data is gone. Intuit holds company data for 365 days from the cancellation date, and if you have not resubscribed by then, it is not recoverable.9QuickBooks. Resubscribe to QuickBooks Online That is the reason the export step earlier in this article is not optional.

Reactivating a Canceled Subscription

If it has been less than a year, you can pick up where you left off. Sign in to QuickBooks Online from a computer, open Settings, select Subscriptions and billing, choose Resubscribe, enter updated billing information, and select Subscribe. Your books will still be intact.9QuickBooks. Resubscribe to QuickBooks Online After 365 days, reactivation still works with your old login credentials, but the previous data is gone and you are effectively starting a fresh company file.

Downgrading as an Alternative

If the real problem is cost, a lower-tier plan may serve better than canceling. From Subscriptions and billing, select Downgrade your plan, review the options, and pick one. Downgrading removes any promotional discount tied to your current plan, so compare the actual prices before switching.10QuickBooks.
