How to Cancel Your 1800Accountant Subscription: Refunds and Steps

To cancel a 1-800Accountant subscription, send a written cancellation request to billing@1800accountant.com and ask for written confirmation of the cancellation date and that no further charges will post.11-800Accountant. Billing That email ends the billing relationship, but it does not revoke the firm’s authority to speak to the IRS on your behalf or remove their login to your accounting software. Both of those steps are separate, and both matter.

Know What You Can Get Back

1-800Accountant bills annually, not monthly, even though the pricing is quoted as a monthly rate. Plans currently range from $209 to $419 per month billed annually, which means you may have paid several thousand dollars upfront for a single term.21-800Accountant. Pricing

The refund window is short. Cancel within the first 30 days of purchase and you can get a 90% refund on unused hours. After 30 days, the remaining balance is non-refundable, and the company’s billing page confirms you will not be eligible for a prorated refund past that point.31-800Accountant. Billing BBB complaints show the policy is enforced strictly, with clients denied refunds for falling outside the 30-day window even when they felt little work had been done.4Better Business Bureau. 1-800Accountant BBB Complaints

If you are past day 30, cancelling still matters. It stops the next annual renewal. Just do not pick up the phone expecting money back on the current term.

Download Everything Before You Cancel

Once your account is closed, access to the client portal and stored documents will eventually be cut off. Pull copies of all filed tax returns, quarterly bookkeeping reports, financial statements, and any correspondence the firm had with the IRS on your behalf before you send the cancellation email.

The IRS expects you to keep business tax records for at least three years from the filing date, stretching to six years if you underreported income by more than 25%, and some records (like those tied to business assets) should be kept longer.5Internal Revenue Service. Recordkeeping Losing those because you cancelled first and downloaded later is avoidable and expensive if you get audited.

If the firm managed your books through QuickBooks Online, export your reports, chart of accounts, and transaction history to a standalone copy before you remove anyone’s access.

Send the Cancellation Request

Email is the primary cancellation channel. Write to billing@1800accountant.com with a clear subject line (something like “Cancellation Request — [Your Name] — [Account ID]”), state that you want to cancel effective immediately, and ask for written confirmation of the cancellation date and that no further charges will be billed.11-800Accountant. Billing Keep it factual and brief.

The company may also be reachable by phone at 1-800-222-6868; verify the number on their website before calling. If you call, expect a retention pitch. Discounts or service credits are common, and accepting one resets the clock on your contract. If your goal is to leave, say so plainly and ask for a cancellation confirmation number before hanging up.

For the strongest paper trail, send the same cancellation notice by certified mail with return receipt requested. A signed delivery record is harder to argue with than an email read receipt if a billing dispute comes later.

Revoke IRS Authorizations

Cancelling the subscription does not pull the firm’s access to your tax information at the IRS. If you signed a Form 2848 (Power of Attorney) or Form 8821 (Tax Information Authorization), those stay active on the IRS’s Centralized Authorization File until you revoke them separately.

To revoke a Power of Attorney, write “REVOKE” across the top of a copy of the original Form 2848, then sign and date it below the annotation. If you don’t have a copy, you can submit a written statement to the IRS listing the name and address of each representative being revoked along with the specific tax matters and periods covered.6Internal Revenue Service. Instructions for Form 2848 The same approach works for Form 8821: write “REVOKE,” sign, date, and submit.7Internal Revenue Service. Submit Forms 2848 and 8821 Online

The IRS online submission system is the fastest route. Electronic submissions update the Centralized Authorization File almost immediately rather than waiting weeks for a mailed form.7Internal Revenue Service. Submit Forms 2848 and 8821 Online If you are hiring a new accountant, their newly filed Form 2848 will automatically replace the prior authorization for the same tax matters and periods unless you specifically request otherwise.6Internal Revenue Service. Remove the Firm From Your Accounting Software

If 1-800Accountant had access to your QuickBooks Online, that access persists after your subscription ends. You have to remove them manually.8QuickBooks. Remove an Accountant User

  • Sign in as the primary admin or company admin.
  • Go to Settings and select Manage Users.
  • Open the Accounting Firms tab.
  • Find the accountant you want to remove and select Delete from the Action column.
  • Confirm the deletion.

Removal takes effect immediately. If the firm had login credentials for Xero, FreshBooks, a payroll service, or any other platform, revoke their access on each one. Change passwords on shared accounts and disable any API integrations they set up on your behalf.

Watch for Charges After Cancellation

BBB complaints show a pattern of clients being billed after they believed their accounts were closed. One complainant reported being double-charged for annual tax preparation across four consecutive years, which the company attributed to “overlapping subscriptions” triggered by portal activity.4Better Business Bureau. 1-800Accountant BBB Complaints Watch your card and bank statements for at least three billing cycles after you cancel.

If an unauthorized charge appears, you have rights under the Fair Credit Billing Act. Write to your credit card issuer at the address designated for billing inquiries (not the payment address) within 60 days of the statement showing the charge. Include your name, account number, and a description of the error. The issuer must acknowledge your dispute within 30 days and resolve it within 90. While the investigation is open, you can withhold payment on the disputed amount, and the issuer cannot report you delinquent or pursue collections on that charge.9Federal Trade Commission. Using Credit Cards and Disputing Charges

Federal law also caps your liability for unauthorized credit card charges at $50, and most major issuers waive even that.9Federal Trade Commission. Using Credit Cards and Disputing Charges If you paid by debit card or ACH, the protections are weaker and the dispute timeline shorter, so paying by credit card gives you a stronger fallback if you can still change the method on file.

If They Make Cancelling Harder Than Signing Up

The FTC’s Click-to-Cancel rule, finalized in October 2024, requires subscription sellers to make cancellation at least as easy as signing up. A seller cannot force you onto a phone call to cancel if you enrolled online, and cannot use drawn-out retention pitches as a barrier to leaving. The rule also prohibits sellers from charging consumers without express informed consent.10Federal Trade Commission. Federal Trade Commission Announces Final Click-to-Cancel Rule

If 1-800Accountant drags out your cancellation beyond what they required at signup, you can file a complaint at ftc.gov/complaint. The FTC does not resolve individual disputes, but a pattern of complaints can trigger enforcement, and citing the rule by name in your cancellation correspondence sometimes moves things along.
