How to Cancel Your Microsoft Teams Subscription: Refunds and Data

To cancel a Microsoft Teams subscription, business admins sign in at the Microsoft 365 admin center and end the subscription under Billing, while personal subscribers do it at account.microsoft.com/services. The real work happens before you click cancel: confirming what’s bundled with Teams, exporting anything you want to keep, and porting phone numbers if you have Teams Phone. If you bought the subscription through the Apple App Store or Google Play, you cancel through Apple or Google, not Microsoft.

Confirm What You’re Actually Paying For

Teams is often bundled into broader Microsoft 365 plans like Business Basic, Business Standard, or Business Premium. Cancel the whole plan and you also lose Outlook, OneDrive, SharePoint, and the desktop apps that came with it.

For a business account, sign in at the Microsoft 365 admin center and go to Billing, then Your Products. That page lists every active subscription, the per-user cost, and the renewal date. For a personal or family account, go to account.microsoft.com/services.1Microsoft Support. Cancel a Microsoft 365 Subscription

If your goal is to stop paying for Teams while keeping other Microsoft 365 services, consider downgrading to a plan that excludes Teams instead of canceling. And if you’re paying for seats nobody uses, reducing licenses may be the better move. From Billing, then Your Products, select the subscription and choose Remove Licenses. You need to unassign them from users first, and recurring billing must be on. One catch: with a Microsoft Customer Agreement billing account, you can only remove licenses within seven days of buying or renewing. Outside that window, you’re stuck with the current count until the next renewal.2Microsoft Learn. Buy or Remove Licenses for a Microsoft Business Subscription

Cancel a Business Subscription

You need billing permissions to cancel. On a Microsoft Customer Agreement, that means billing account owner or contributor, or billing profile owner or contributor. On a Microsoft Online Subscription Agreement, Billing Administrator is the minimum. A standard user account can’t do it.3Microsoft Learn. Cancel Your Subscription in the Microsoft 365 Admin Center

Microsoft Customer Agreement

  1. Sign in at the Microsoft 365 admin center.
  2. In Simplified view, select Subscriptions. In Dashboard view, go to Billing, then Your Products.
  3. Select the subscription you want to cancel.
  4. Under Billing Settings, find Subscription Status and select Cancel Subscription.
  5. If you’re within the cancellation grace period, pick a reason, add optional feedback, and confirm.
  6. If you’re past the grace period, the system directs you to turn off recurring billing so the subscription expires at the end of the current term.

Microsoft Online Subscription Agreement

  1. Sign in and go to Subscriptions, or Billing then Your Products.
  2. Select the subscription.
  3. Select Cancel Subscription.
  4. Choose Cancel Now to end it right away, or Cancel Before the Next Renewal Date to keep access through the current period, then select Next.
  5. Pick a reason, add feedback, confirm.

Repeat for every subscription you want to end.3Microsoft Learn. Cancel Your Subscription in the Microsoft 365 Admin Center

Cancel a Personal or Family Subscription

Personal subscriptions skip the admin-role step. You just need the Microsoft account credentials used for the original purchase.

  1. Go to account.microsoft.com/services and sign in.
  2. Find your Microsoft 365 subscription and select Manage.
  3. Select Turn Off Recurring Billing.
  4. Read the summary of what changes, then choose either “I don’t want my subscription” or “I want to keep my benefits.”

Turning off recurring billing doesn’t end the subscription immediately. You and anyone sharing a Family plan keep full access through the expiration date, and no further charge happens when the term ends.4Microsoft Support. Turn Recurring Billing On or Off for a Microsoft Subscription To end it sooner, use the cancellation option on the same page; depending on the billing cycle, access may stop earlier.1Microsoft Support. If You Bought Through Apple or Google

Microsoft cannot cancel a subscription purchased through the Apple App Store or Google Play Store. The billing relationship sits with Apple or Google. Canceling through the Microsoft account dashboard will not stop the charges. For Apple purchases, request cancellation through Apple Support. For Google Play purchases, contact Google Play customer support.1Microsoft Support. Cancel a Microsoft 365 Subscription

Export Your Data First

Once a subscription ends, retrieval windows start shrinking. Pull everything important while you still have full access.

OneDrive and SharePoint

Select the files or folders you want and click Download in the top navigation. Multiple files download as a zip, capped at 10 GB per zip and 20 GB overall. Files in the Shared view can’t be downloaded directly; open them and save a copy. OneNote notebooks need to be exported separately.5Microsoft Support. Teams Messages and Contacts

Teams Free users export data through the Microsoft account privacy dashboard. Go to account.microsoft.com/privacy, open the Download Your Data tab, and create a new archive. That captures messages, call logs, and media. For contacts, sign in at teams.live.com/dataexport and select Export Contacts to download a CSV.6Microsoft Support. Export or Delete Your Data in Microsoft Teams Free Business administrators typically use Microsoft Purview eDiscovery or content search in the Purview compliance portal to export Teams messages, channels, and files at scale, while the subscription is still active.

Port Teams Phone Numbers Before You Cancel

If your organization uses Teams Phone with calling plans, the numbers have to stay active with Microsoft through the entire porting process. Cancel first and the transfer fails, which can mean losing the numbers permanently.7Microsoft Learn. How to Port Out a Phone Number That Is With Teams

In the Teams admin center, go to Voice, then Phone Numbers, and set a 10-digit porting PIN. Give your new carrier that PIN, the phone number, and the emergency address on file with Teams. Wait until the new carrier confirms the port is complete and you’ve tested calls and texts. Only then unassign the numbers and cancel the Teams Phone or Calling Plan licenses.7Microsoft Learn. What Cancellation Costs You

Refunds

Microsoft decides eligibility automatically during cancellation and shows you the result before you confirm.8Microsoft Support. Microsoft Subscription Refund Policy

For personal subscriptions (Microsoft 365 Basic, Personal, Family), prorated refunds are generally not available in the United States or most countries. Canada, France, Israel, South Korea, and Turkey allow prorated refunds when you cancel at any time. For Microsoft 365 Premium and Copilot Pro, most countries outside that list offer a prorated refund only within 14 days of initial purchase.8Microsoft Support. Microsoft Subscription Refund Policy Approved refunds take a few business days up to around 10 days to post, depending on your bank.

Billing commitment matters here. Monthly commitment plans have no penalty for canceling. Annual plans billed monthly can trigger penalties for the remaining months if you cancel mid-term. Annual plans paid upfront generally do not refund the unused portion.

Bundled Services You’ll Lose

  • OneDrive storage drops to the free 5 GB tier. If you’re over that, you can’t upload, edit, or sync until you clear space.
  • Your Outlook.com email address and inbox survive, but mailbox storage drops to the free 15 GB limit. Exceed it and sending and receiving stop.
  • Desktop Word, Excel, PowerPoint, and classic Outlook licenses are revoked. The apps eventually enter reduced-functionality mode (view only, no editing).
  • The “New Outlook” app is free and keeps working.

Clear your Outlook mailbox and pull down OneDrive files before the cancellation takes effect, especially if you’re anywhere near those free-tier limits.

Data Timeline After Cancellation

A canceled business subscription moves through stages: Active, then Expired (about 30 days), then Disabled (about 90 days), then Deleted. During Expired, admins keep limited access and can reactivate. During Disabled, only admins can get in, mostly to retrieve data. After Disabled, deletion begins; data may be deleted after 90 days and will be deleted no later than 180 days after cancellation. If an admin explicitly deletes a subscription instead of letting it expire, it skips Expired and Disabled entirely. SharePoint and OneDrive data are deleted immediately, with no recovery window.9Microsoft Learn. What Happens to My Data and Access When My Microsoft 365 for Business Subscription Ends

Verify the Cancellation

Go back to where you started. For business accounts, Billing then Your Products in the admin center. For personal accounts, account.microsoft.com/services. The status should show the subscription as canceled, or show recurring billing as off, immediately. If it still looks active, run the steps again — a missed confirmation screen is the usual cause, and an overlooked renewal adds up fast across a full organization.
