How to Cancel Your RingCentral Account: Fees, Steps, and Refunds

To cancel a RingCentral account, the primary account administrator has to call 1-888-898-4591 and choose Option 3; there is no cancel button in the dashboard. Before you make that call, port your phone numbers to your new provider and read your contract, because canceling mid-term obligates you to pay the remaining balance in full. Here is how to cancel a RingCentral account without losing your numbers or paying more than you have to.

Port Your Numbers and Export Your Data First

Cancel the account before your numbers transfer and you lose them permanently. RingCentral releases the numbers on deactivation, and a released number is gone. Start the port with your new provider first, confirm it has completed, and only then call to cancel.

Your call recordings, voicemails, message logs, fax history, and analytics reports live on RingCentral’s servers and disappear with the account. Log into the Admin Portal and export anything you need for compliance or records before the account closes.

While you’re in the portal, pull up your service agreement under billing or account settings. It lists your term length, renewal date, and what you owe if you leave early. Walking into the cancellation call knowing those numbers is the difference between a clean exit and a surprise bill.

Watch the Auto-Renewal Window

RingCentral contracts renew automatically unless you give written notice of non-renewal at least 30 days before the current term expires.1RingCentral. Master Services Agreement A one-year contract renews for another year; a two-year contract renews for two. Miss the 30-day window and you’re locked into a fresh term carrying the same early-termination consequences as the original.

This is the trap most people fall into. They start the cancellation in month 11 of a 12-month deal, assume they’re almost free, and find the renewal has already kicked in. Set a calendar reminder at least 60 days before your contract end date so you have room to send the notice on time.

What Early Cancellation Costs

If you cancel before your term ends, RingCentral’s Terms of Service require you to pay all remaining charges for the rest of the term, plus accrued taxes and fees, within 30 days of termination.2RingCentral. RingCentral Online Terms of Service In practice that means 100% of what you would have paid over the remaining months.

One narrow exception: on annual prepaid plans, canceling within the first 30 days may qualify for a prorated refund. Outside that window, RingCentral does not refund unused prepaid amounts or credits. If your account is month-to-month, there is no remaining term to buy out.

Making the Cancellation Call

Only the account administrator listed as the primary contact can authorize a cancellation. Have your account number and login credentials in front of you before calling 1-888-898-4591 and selecting Option 3. The representative will verify your identity, review your contract status, and typically offer discounts or a plan change to keep you.

Before the call ends, get three specifics confirmed:

  • A cancellation case number, along with the date, time, and representative’s name.
  • The effective cancellation date when service ends and billing stops.
  • The final balance, including any early termination charges.

Then ask for email confirmation. A verbal agreement is fine in the moment; a written record is what protects you if charges keep appearing weeks later.

Returning Leased Equipment

If you rented desk phones or conference devices through RingCentral’s hardware rental program, you have 30 days after termination to return them. Devices not returned in that window are automatically treated as a purchase and billed based on how long you had the equipment.3RingCentral. RingCentral Phone Lease Program and Rental Agreement

The purchase price scales with time on the device:

  • 12 months: 70% of list price
  • 24 months: 60% of list price
  • 36 months: 50% of list price
  • 48 months: 40% of list price
  • 60 months: 30% of list price

Lost, stolen, or damaged devices within the first 12 months are billed at the full list price.3RingCentral. If you’d rather keep the hardware for use with a compatible provider, buying it outright at the rates above is an option.

Watch for Charges After Cancellation

Your closing invoice will show any remaining contract balance, prorated usage from the final billing cycle, and applicable taxes. Prepaid amounts you have already paid but won’t use are not refunded outside the 30-day annual-plan window.

Check your bank or credit card statements for at least two billing cycles past the confirmed cancellation date. Recurring charges sometimes continue through processing delays or errors, and when they do, your case number, email confirmation, and final invoice are the evidence that resolves the dispute quickly with RingCentral or with your bank.
