How to Cancel Your ShipStation Account: Export Records, Void Labels, Downgrade

To cancel your ShipStation account, open Account Settings from the gear icon, go to Accounts & Payments, select Subscriptions, and click the Cancel Subscription link at the top of the page. Only the account owner or a user with administrative permissions can do it, and your subscription keeps working until the end of the billing cycle you already paid for.1ShipStation. Cancel Subscription Before you click through, there are a few things worth handling so you don’t lose data or leave money behind.

Export Your Shipping Records First

Once your account closes, ShipStation doesn’t guarantee ongoing access to your shipping data, so treat your cancellation date as the deadline for pulling everything out.2ShipStation Help. Manage Your Subscription

Go to the Shipments tab and export your data as a CSV. You get two formats: Export Shipments puts each shipment on its own row, and Export Shipment Line Items breaks out individual products. A custom export lets you pick the fields that matter, such as order subtotals, tax paid, shipping costs, carrier fees, insurance costs, and ship dates.3ShipStation Help. Export Shipment Records

Pull at least three years of history. The IRS requires most businesses to keep tax-related records for three years from the filing date, with longer windows in specific situations: six years if you underreported income by more than 25% of gross income, and seven years if you claimed a deduction for worthless securities or bad debt.4Internal Revenue Service. How Long Should I Keep Records Shipping costs feed directly into cost-of-goods-sold, so these records matter if you’re ever audited.

Void Any Unused Labels

Labels you paid for but never used are money sitting in your account. Void them before you cancel, and watch the carrier windows:

  • USPS labels must be voided within 28 days of generation.
  • UPS and other carriers allow 30 days.

Post-billed carrier accounts like UPS and FedEx don’t charge for labels that were never scanned, so voiding those is optional but keeps your records tidy. For prepaid labels, the credit usually posts back to your ShipStation balance right away, though it can take up to 28 days.

What Happens After You Cancel

ShipStation does not prorate refunds for the unused portion of your current billing period.
