How to Cancel Your Xero Account: Notice Period, Final Bill, and Data

To cancel your Xero account, export your financial data, sign in as the subscriber, open Subscription and billing from your organization menu, and click Cancel subscription. Xero enforces a one-month notice period, so you’ll be billed for one more month and keep full access during that time. No refunds are issued, and once the subscription fully ends you lose live access to your books.

Export Your Data First

The biggest mistake is canceling first and thinking about records later. Once your subscription expires, you’re locked out of reports you may need for years. The IRS expects business records kept for at least three years, up to seven if you’ve claimed losses from bad debts or worthless securities, and employment tax records have their own four-year floor.1Internal Revenue Service. How Long Should I Keep Records

Xero recommends exporting from each area of the platform separately, along with key reports. At a minimum, download:2Xero Central. About Exporting Data Out of Xero

  • A Balance Sheet and Income Statement for each fiscal year you’ve been on Xero.
  • A Trial Balance covering all past periods.
  • The Account Transactions report, which gives you a line-by-line record of every transaction.
  • Sales tax reports for each filed return period.
  • Your chart of accounts, contacts, invoices, bills, and fixed assets, which export separately from the reports screen.

Reports save as PDF, CSV, Excel, or to Google Sheets. Keep copies outside of Xero. If you use multicurrency, include the foreign exchange columns.

Standard exports do not include payroll data such as W-2s, 1099s, or payroll tax filings, and they don’t capture file attachments like uploaded receipts and contracts. Download those separately.

Who Can Cancel

Only the subscriber can cancel. The subscriber is the person whose name and payment details are on the billing agreement, usually whoever originally set up the organization. Standard users and advisors with full access cannot see the cancellation option. If you’re not the subscriber, either have them cancel or transfer the subscriber role first.

If the original subscriber has left the company, passed away, or is otherwise unreachable, contact Xero support. There is a formal process for transferring the subscriber role, but Xero’s terms require them to notify the current subscriber at the registered email before making any change.3Xero Central. The Notice Period, Final Bill, and Refunds

Xero requires one month’s notice.6Xero. Xero US – Offer Details You’ll be charged for that month and keep full access to your organization throughout. This is not optional under Xero’s terms, regardless of when you stop using the software.

Your final invoice may not fall on your usual billing date. If your subscription normally renews on the 21st and you cancel on July 16, the final invoice would cover July 21 through August 15.4Xero Central. No refunds are issued. Xero’s terms state that no refund is due on termination and no prorated credit is given for unused time.7Xero. Terms of Use

What Happens to Your Data After Cancellation

When the subscription fully ends, Xero archives your organization’s data and keeps it for seven years before deleting it.8Xero Central. Manage Your Personal Data and Communication Preferences in Xero During that window you can reactivate and regain access. After seven years, the data is gone.

That retention window lines up with the longest IRS record-keeping requirements, but it isn’t a backup plan. Xero does not guarantee against data loss or corruption. Treat your exports as the primary record.

To reactivate, log in, open My Xero, go to the Subscriptions tab, change the filter to All, and click Reactivate next to the organization. Access returns immediately once you pick a plan and enter payment details. Reactivation starts a new subscription at current pricing; any promotional rate from your original signup won’t carry over, and the one-month notice applies again next time you cancel.9Xero Central. Lighter Options Before You Cancel

If cost is the real reason you’re canceling, a full cancellation may be more than you need.

Downgrade to the Early Plan

Xero’s lowest tier, the Early plan, is $25 per month and still includes access to your organization, bank reconciliation, and reporting.10Xero US. Pricing Plans Compare that to $55 for Growing or $90 for Established. The trade-off is tighter caps on invoices and bills. You can downgrade once you’ve been on your current plan for at least 30 days.11Xero Central. View or Change Your Pricing Plan

Cancel Now, Reactivate Later

Xero has no true pause option. But because canceled data is retained for seven years, you can cancel and reactivate later if circumstances change. The reactivated subscription is priced at current rates, not your old ones.

If You’re Switching Accounting Platforms

If you’re moving to another tool rather than closing the business, plan the migration before you cancel. Most platforms accept CSV or Excel imports for charts of accounts, contacts, and transaction histories, which is why exporting those files first matters.

QuickBooks Online offers an automated migration through Dataswitcher that converts up to two fiscal years of Xero data at no charge, including invoices, bills, bank transactions, and the chart of accounts. Older data is consolidated into an opening balance, and additional years can be migrated for a fee. Payroll information, file attachments, and bank reconciliation history don’t transfer automatically.

Whatever platform you’re moving to, keep the Xero subscription active until you’ve verified the migrated data looks correct in the new system. Canceling before you’ve confirmed the import leaves you scrambling if something didn’t carry over.
