What to Have Ready Before You Start

Have your student ID number in hand; it ties the complaint to your academic record. Gather the date of the incident, the department or office involved, and the names of any faculty or staff you have already contacted about the issue.

The form asks for a written narrative. Draft it outside the browser first. Stick to facts: what happened, when, who was involved, and what policy or standard you believe was violated. Skip vague characterizations. If you tried to resolve the problem informally, describe those attempts and what came of them, since that context shows the reviewer where the breakdown occurred.

Convert supporting evidence to PDF or image files before you log in. Useful documentation includes email exchanges with instructors, screenshots of grade postings, billing statements, and copies of the syllabus. Attach everything relevant when the form prompts you. What Happens After You Submit

  • A Student Advocate reviews the complaint and any attached documentation. Duplicates of prior filings may be withdrawn.
  • The Student Advocate forwards the complaint to the appropriate university office for research and a decision.
  • The assigned office examines the complaint against Liberty’s policies and records. You may be contacted for clarification or additional documents.
  • The decision-making party rules on the complaint and updates the online complaint form with the outcome.
  • You receive an email with the decision.

Liberty does not publish a guaranteed timeline. Complexity, the number of offices involved, and staff availability all affect turnaround. If several weeks pass with no communication, contacting the Student Advocate Office directly is reasonable.

Appealing the Decision

If you disagree with the outcome, you have seven days from the date the decision is rendered to appeal. The appeal must include additional supporting documentation or new information that was not part of the original filing. State Council of Higher Education for Virginia (SCHEV)
