The QuickBooks Business Change Request form is how you take over as primary administrator on a QuickBooks Online account when the current admin can’t or won’t hand off the role through the normal in-product transfer. You submit it through Intuit’s online portal, upload identity and business formation documents, and wait for Intuit’s account protection team to verify that you have the legal right to manage the account.
Use this form when the self-service transfer isn’t possible: the previous admin left the company and nobody has their credentials, the business was sold, the previous owner died, or a legal restructuring has left the account tied to the wrong entity. The in-product option requires the current admin to log in and approve the handoff, so when that person is gone or unwilling, the Business Change Request is the only path.
Documents to Gather Before You Start
Missing or mismatched documents are the fastest route to a denial. Pull everything together before you open the form. If you need to pause, the form holds in draft for 30 days.1Intuit QuickBooks. Request to Be the Primary Admin or Contact
Your ID
A copy of your driver’s license, government-issued ID, or passport. If other majority owners, business partners, nonprofit directors, or estate executors are involved, you need copies of their government-issued IDs too.
Business Formation Documents
What you upload depends on the entity type. Whatever you provide should show the owner’s, chairperson’s, or president’s name and title.
- Sole proprietor or self-employed: a business license.
- Corporation or S corporation: articles of organization, corporate bylaws, or a shareholders agreement.
- LLC: articles of organization or an operating agreement.
- Limited partnership: a certificate of limited partnership or certificate of limited liability partnership.
- Nonprofit: board of trustee meeting minutes identifying the new primary admin, or if those aren’t available, articles of incorporation or nonprofit corporate bylaws.
- Other business types: articles of organization, articles of incorporation, corporate bylaws, or a shareholders agreement.1Intuit QuickBooks. Request to Be the Primary Admin or Contact
Letter of Permission If You’re Not the Owner
If you’re not the business owner, Intuit requires a letter naming you as the new primary admin. It needs signatures from any majority owners, business partners, nonprofit directors or presidents, or estate executors. The letter must come from a majority stakeholder. Requests from minority owners or employees without that authorization have been denied even when the rest of the file was complete.1Intuit QuickBooks. Request to Be the Primary Admin or Contact
If the Previous Owner Has Died
You need a notarized document that includes the name of the executor of the estate, plus the executor’s government-issued ID. If you aren’t the executor, you also need a letter of permission signed by the executor naming you as the new primary admin.1Intuit QuickBooks. Request to Be the Primary Admin or Contact
How to Submit the Form
The whole process runs through Intuit’s online portal. You need to be signed in to an Intuit account, but it doesn’t have to be the current primary admin’s account.
- Open the Business Change Request form at bcr-portal.app.intuit.com/bcr-ui/bcrform.
- Select the company you’re requesting access for, and answer every dropdown question before continuing.
- Select Continue.
- Review the business details that populate. If they match, select Continue. If the wrong business appeared, select “This is not the right business” and go back.
- Review your personal details and select Continue.
- On the summary page, confirm everything is correct and select Continue. You can’t edit after this step.
- Upload the required documents and select Submit request.1Intuit QuickBooks. Request to Be the Primary Admin or Contact
If you don’t have everything ready, close the form and come back. The draft is held for 30 days.
What Happens After You Submit
Intuit’s account protection team reviews the request and checks your uploads against the business records on file. The official guidance says they’ll review “as soon as possible” and email you when the review is done.1Intuit QuickBooks. Request to Be the Primary Admin or Contact Intuit doesn’t publish a guaranteed turnaround. Users generally report several business days, and estate or disputed-ownership cases take longer.
If approved, you’ll get emailed instructions for setting up your credentials and accessing the company file. From that point, the subscription, billing, user permissions, and financial data are yours to manage.
Why Requests Get Denied
Three problems come up repeatedly.
Upload errors are the most common. Users have received denial emails stating that nothing was uploaded even when they thought they’d attached files. Before you hit submit, confirm each file actually appears in the attachment section and that no file sizes are zero.
The majority-owner rule trips up employees, accountants, and minority partners. If you’re not the majority stakeholder, your request can be denied regardless of the rest of your documentation. Either have the majority owner submit the request, or include a signed letter of permission from them that specifically names you as the new primary admin.
Name mismatches cause delays. If the name on your ID doesn’t match the name on your articles of organization, add a short explanation in the request or attach a document that connects the two names.
QuickBooks Desktop Is Different
Desktop products have two separate admin roles: the company primary admin, who controls the company file, and the Intuit Account primary admin, who manages the Intuit account tied to the license.2Intuit QuickBooks. Transfer the Primary Admin Role in QuickBooks Desktop The Business Change Request form covers only the Intuit Account admin role. For the company file admin, the transfer happens inside the Desktop software, which requires access to the local file or network where the data lives. You may need to go through both processes.
The IRS Is a Separate Filing
Changing your QuickBooks admin doesn’t notify the IRS of anything. If this transfer coincides with a change in your responsible party, legal name, or business address, file Form 8822-B (Change of Address or Responsible Party — Business) with the IRS separately. The Form 941 instructions direct employers to use Form 8822-B for those updates.3Internal Revenue Service.
