Documents to Gather Before You Start
Missing paperwork is the most common reason applications stall, so pull everything together first. At the dealership level you need:
- A current motor vehicle dealer license issued by your state’s regulatory authority.
- A copy of your active dealer surety bond. Bond amounts vary by state and commonly fall between $25,000 and $50,000.
- A completed Bank Authorization Letter. AuctionACCESS provides a specific form for this on its forms page; your bank officer fills it out to confirm the account is in good standing.2AuctionACCESS. Forms
- Your dealership’s Federal Tax Identification Number (EIN).
- Your current resale or sales tax exemption certificate.4ADESA. Get Started With ADESA Vehicle Auctions
Every owner, officer, and authorized representative you plan to list also needs a government-issued photo ID (driver’s license or passport), a current home address, and professional contact information. Check that names and addresses match exactly across the ID, bond paperwork, and dealer license. Discrepancies between documents are a straightforward path to rejection.
Filling Out the Form
Download the Dealer Registration Application from the AuctionACCESS forms page, or start it in the online portal at selfservice.auctionaccess.com.2AuctionACCESS. Forms The PDF is a fillable packet, so you can type into the fields before printing. The form has two sections: company information and individual representatives.
The company section asks for the dealership’s legal name, physical and mailing addresses, EIN, dealer license number, and bond details. Enter a business phone number and a primary contact email. That email is where AuctionACCESS sends approval notifications and renewal reminders, so use an address someone checks daily.
The individual section repeats for each person you want credentialed. For each, you enter full legal name, date of birth, home address, government ID number, and the role they will hold. Every listed person needs their own membership, billed at $103 per year plus applicable sales tax. If someone works for more than one dealership, the $103 is paid only once. The fee covers the individual, not the company.1AuctionACCESS. FAQs
Assigning Roles to Each Representative
Every person on the account has to be assigned a role, and this controls what they can do at auction. The two main categories are owners/officers and buyers.
Owners and officers carry the highest authority. They can sign contracts, bind the dealership financially, and manage the AuctionACCESS account itself, including adding or removing other individuals. Because of that authority, owners and officers go through more extensive background review during verification.
Buyers are representatives authorized to bid on and purchase inventory for the dealership. The application lets you set buying limits or permission tiers for each buyer, which is how you control financial exposure. Set these thoughtfully before submitting. Changing them later means going back through the self-service portal.
Some individuals may need only gate access to enter the auction facility without bidding authority. Check the corresponding box for each person so the AuctionACCESS card accurately reflects what they can and cannot do. Assigning someone a role beyond their actual responsibility creates liability for the dealership if they make unauthorized purchases.
Submitting the Application
When the form is complete and the supporting documents are assembled, you have two ways to submit. The online portal at selfservice.auctionaccess.com has a document upload tool where you attach scanned copies of your dealer license, bond, bank authorization letter, and IDs.3AuctionACCESS. AuctionACCESS You can also bring the full paper package to the dealer registration desk at any participating auction location for in-person processing.
After submission, AuctionACCESS audits your documents against external databases to confirm they are authentic and current. Approval notifications come by email along with your membership credentials, including the AuctionACCESS “100 million” number that individual auction houses ask for when you register at their locations.4ADESA. A physical AuctionACCESS ID card is typically mailed to the dealership’s primary business address. Present it at any participating auction’s registration desk for check-in. Keep the mobile version handy as a backup. If you forget the physical card, the digital version on your phone works at most locations.
One More Step at Each Auction
Your AuctionACCESS credentials get you into the network, but most auction houses still require a one-time on-site registration the first time you visit. Requirements vary by state and location, and you should expect to bring your AuctionACCESS number, state dealer license, a voided company business check, your current sales tax exemption or resale certificate, your dealer bond if the state requires it, and a current salesperson’s license for each representative attending. Online buying privileges at a given auction are generally authorized within five business days of registering with that location.4ADESA. Keeping the Account Active
AuctionACCESS memberships renew annually through the membership portal at dealers.auctionaccess.com/membership.3AuctionACCESS. AuctionACCESS The $103 fee applies to each credentialed individual, so review the roster before renewal and remove anyone who no longer works for the dealership.1AuctionACCESS. FAQs
To add or remove individuals at any time, sign in to selfservice.auctionaccess.com. A Dealership Removal of an Individual form is also available on the forms page if you prefer paper. If the dealership closes permanently, a Dealer Out of Business form on the same page formally deactivates the account.2AuctionACCESS. Forms
Keep your dealer license, surety bond, and other documents current in the system. AuctionACCESS requires you to update information whenever it changes, and letting a license or bond expire without uploading the renewal creates a risk of account suspension. Treat the renewal date on your state dealer license as a reminder to check your AuctionACCESS profile and upload fresh copies of anything that has been reissued.
