How to Fill Out and Submit a University Roommate Change Request Form

To submit a university roommate change request form, wait until your school’s early-semester room freeze lifts, complete roommate mediation with your RA, then log into your housing portal and fill out the request with your student ID, current room assignment, preferred halls or room types, and a specific written reason for the move. The form itself is short. The preparation and timing around it are what decide whether your request gets approved.

When You Can Submit

Most universities lock room assignments for the first two to three weeks of each semester while the housing office verifies move-ins, clears no-shows, and fills last-minute vacancies. The portal will not accept a change request during this window.

The University of South Dakota keeps its freeze in place “until the first two weeks of the semester have finished.”1University of South Dakota. Safety concerns, harassment, and medical needs are handled differently. If something urgent is happening during the freeze, contact your Resident Assistant or Area Coordinator right away. Housing staff can arrange emergency relocations outside the normal timeline.

Complete Mediation First

You generally cannot submit a room change request until you have gone through mediation with your roommate. Housing offices treat the change form as a last resort.

Penn State Altoona puts the rule plainly: “We require all students involved in a roommate conflict to participate in mediation before changing rooms.”5Pennsylvania State University Altoona. Roommate Mediation At Kean University, if the initial RA-led mediation does not resolve things, a second session with the residence hall director follows before a room change is offered.6Kean University. Roommate Conflict

Mediation usually means sitting down with your RA, talking through the conflict, and revising the roommate agreement you both signed at move-in. The RA documents what happened. That documentation becomes part of your room change file. Without it, most housing portals will not let you proceed. Even if you have already decided you want to move, go into mediation seriously. A clear record that you tried strengthens the request when the assignments team reviews it.

What to Have Ready Before You Open the Form

Once the freeze lifts and mediation is documented, you can access the request form through your school’s housing portal. Before you log in, gather:

  • Your student ID number, as it appears on your housing record.
  • Your current building name and room number, exactly as the housing system lists them.
  • Your preferred halls or room types. Most forms ask you to rank top choices, so think about room type (single, double, suite) and location rather than just “anywhere but here.”
  • A short written reason. Be specific. “Lifestyle differences affecting sleep and study” tells a reviewer more than a vague complaint.
  • Swap partner information, if you have already found someone willing to trade. You will need their full name and student ID number.

The University of Cincinnati’s portal walks students through timeline and availability information before the request fields open.7University of Cincinnati. Change or Swap Rooms The University of Northern Iowa routes the form through its housing contract portal.8University Housing & Dining. Room Change Request In both cases the form is short; the groundwork beforehand is what matters.

Submitting the Form

Submission at most schools is entirely digital. Log into the housing portal, find the room change or transfer request tab, complete the fields, and submit. The system typically generates a confirmation. Save or screenshot it. That confirmation is your proof of when you filed, and requests are generally processed in the order they come in.

Paper forms are rare now. Where they still exist, the housing office will tell you to bring the completed form in person and will log the date of receipt.

No fee is required to submit a room change request at the schools reviewed here. The University of Colorado states directly that “there is no charge associated with submitting a Housing Change Request.”9University of Colorado. Assignment Change Request Process Some schools charge a one-time application fee when you first apply for housing (CSU Channel Islands charges $50 at that stage), but that is for the original application, not a mid-year change.10CSU Channel Islands. If You’re Doing a Mutual Swap

A mutual room swap, where you and another student agree to trade assignments, follows a slightly different track. Both students must independently submit the form. One person filling it out for both is not enough and can trigger a conduct referral.

Ohio University lays out the conditions clearly: both students must complete the swap form, both must still be living in their assigned rooms when the forms come in, and the request is denied if more than five business days pass between the two submissions.11Ohio University. Mutual Room Swap Form A swap also fails if either student is ineligible for the other’s space. Living-learning communities, honors halls, and upperclass-only buildings have their own eligibility rules that do not transfer automatically.

Swaps are generally easier to approve than open room changes because the housing office does not have to find you a new room. If you have a partner lined up, coordinate so your submissions arrive close together.

After You Submit

The assignments team reviews your request against available space. The University of Cincinnati tells students to allow seven to ten business days for a response.7University of Cincinnati. Change or Swap Rooms The University of Tampa reviews its waiting list weekly and sends offers to student email accounts.12University of Tampa. Room Change Process The University of Michigan emails students when a space opens and gives just 24 hours to accept before the offer passes to the next person in line.13University of Michigan. Check your university email daily once you have filed. An offer that expires because you did not see it in time sends you back to the end of the queue.

Decisions hinge on availability. Your reason matters, and safety concerns or documented conflicts carry more weight than convenience, but a compelling reason cannot create a room that does not exist. Reed College states that “approved room-change requests must be due to extenuating circumstances,” and moves are “generally to a similar room type” unless the room type itself is the issue.3Reed College. If You’re Denied

The most common reason for denial is simple lack of space in the building or room type you asked for. The University of Cincinnati sends denied students a written explanation.7University of Cincinnati. Change or Swap Rooms Other denials come from avoidable problems:

  • No mediation on file, because the conflict resolution step was skipped or not documented.
  • Convenience-only reasoning. Wanting to be closer to a friend or a dining hall, with no conflict or hardship, is unlikely to be approved.3Reed College. Room Change FAQ
  • Ineligibility for the requested space, such as an honors hall, a living-learning community, or an apartment-style unit you do not qualify for.
  • Financial holds on your account. Outstanding balances can block access to university services. Loyola University Chicago, for example, blocks accounts with unpaid balances from certain registration functions.14Loyola University Chicago. Registration Holds

Most schools do not publish a formal appeals process for room change denials. Your best next step is to speak with your hall director or the housing assignments office. Ask whether you can go on a waiting list for the next opening, or whether resubmitting later in the semester makes sense when vacancies open up.

Medical and Disability Accommodations Go Through a Different Office

If the move is based on a disability or medical condition, do not use the standard room change form. Those requests go through your school’s disability services office, which coordinates with housing. The Fair Housing Act covers dormitories, and Section 504 of the Rehabilitation Act and the Americans with Disabilities Act also apply to most postsecondary institutions.15ADA National Network. Postsecondary Institutions and Students With Disabilities

You typically need to register with disability services and provide supporting documentation from a licensed treating provider. NYU’s guidelines are representative: documentation should be recent (within the past year), establish a direct link between the disability and the specific housing accommodation requested, and come from a qualified professional rather than a self-assessment or a handwritten prescription-pad note.16New York University. Informational Packet for Requesting Reasonable Housing Accommodations The freeze period and mediation requirements that apply to ordinary conflicts generally do not apply to a documented medical or disability need, but the housing office still makes the final assignment based on what is available.

If You’re Approved

An approval email usually includes your new assignment and a deadline to complete the move. At the University of Tampa, students have 48 hours to decide whether to accept the offer, and once they accept, they must begin moving the following business day.12University of Tampa. Room Change Process Expect a tight window at any school, because housing has to update emergency contact records, door access, and the internal roster quickly.

Before you leave your old room, schedule a checkout with your RA and return your key. Skipping checkout can trigger lock-change charges and cleaning fees. The University of Tampa warns that failing to follow checkout procedures “may result in improper room change, cleaning, damage, trash removal or lock change fees being assessed.”12University of Tampa. Room Change Process

Watch the Bill

Moving to a room with a different rate changes your bill. At UMass Amherst, the housing office adjusts the base room fee on the student’s bursar account within ten days of the move.17UMass Amherst. Changing or Cancelling Housing The University of Colorado notes that a hall change “may result in a change to the amount of your Housing payment.”9University of Colorado. Assignment Change Request Process

If the cost difference is large, such as moving from a standard double into a single or a suite, it can affect your financial aid. Schools build housing costs into your Cost of Attendance, and a shift to a higher-cost room type may change the allowance applied to your aid calculation.18Federal Student Aid. Cost of Attendance (Budget) Check room rates before you accept a new assignment, and call the financial aid office if you are relying on aid to cover housing.

If Your Roommate Leaves and You’re Alone

If your roommate moves out and you are left with an empty bed, you may not get to keep the room to yourself. Many housing offices practice consolidation, filling vacant beds by assigning a new roommate or moving you to pair with another student who also has an open space.

The University of Mary Washington requires residents with an open bed to keep the vacant side of the room “clear of all belongings, the beds separated, and the furniture placed correctly.” Behavior that discourages a new roommate from moving in, such as spreading belongings across both desks, can lead to disciplinary action, including reassignment or removal from the residence halls without a refund.19University of Mary Washington. Changes to Housing Assignments You can usually request a specific person to fill the vacancy during a designated assignment change period, but if that person declines, the space opens to anyone eligible.
