A York warranty claim form is filled out and submitted by your authorized York dealer, not by you. Your part is to confirm the unit is registered, pull together the model and serial numbers along with your original installation paperwork, and hire a qualified York dealer to diagnose the failure and file the claim on your behalf. York’s standard residential warranty covers the replacement part itself at no charge; labor and related service costs are yours unless you bought separate labor coverage.
Who Actually Submits the Form
York does not accept warranty claims directly from homeowners. The authorized dealer completes the warranty voucher form electronically and uploads any supporting media, such as photographs, video, and service tickets.1York Technical Support. Warranty Voucher That electronic submission is what creates the record in York’s warranty system and starts the review. If you try to call the manufacturer yourself, you will be directed back to a dealer.
If you are not sure whether your contractor qualifies, use the dealer locator on york.com to find an authorized one near you.2YORK. Find a Dealer A claim submitted by a non-authorized contractor will be rejected.
Confirm Registration First
Before anything else, check that the unit was registered within 90 days of installation. York requires online registration in that window to activate the full warranty.3YORK. Warranties and Registration Registration happens through the Johnson Controls product registration portal at UPGProductRegistration.com, and the same portal lets you check whether a unit is already on file.
Many installers register the equipment at commissioning. Do not assume yours did. If the unit was never registered, the coverage drops: lifetime compressor warranties revert to a standard 5- or 10-year compressor warranty, lifetime heat exchanger warranties become 20-year coverage, and the 10-year parts warranty shrinks to 5 years.4YORK. YORK Product Warranties A failure that would have been covered under the registered terms can land outside the shorter fallback window, and that is the most common reason homeowners lose coverage they thought they had.
What to Have Ready Before the Service Call
Find the rating data plate on your outdoor condenser or on the furnace cabinet. The ten-character serial number on that plate is how York identifies the production date, product line, and registration status of your specific unit.5Building Intelligence Center. York HVAC Age Write down both the model number and the serial number so the technician can confirm them on site.
Pull the following together as well:
- The original dealer invoice or installation receipt showing the install date. York uses this to confirm the failure falls inside the active warranty period.
- Any records of annual service by a licensed technician. The warranty covers manufacturing defects, not failures caused by neglect, and maintenance history helps show the system was properly cared for.
- The install book that came with the unit. It contains the startup form the original installer should have completed, which the claim depends on.
What the Form Requires From Your Technician
York will not consider a claim unless three things are in place: the startup form from the original installation is fully completed with no blank fields, the equipment is registered in the warranty system, and the diagnosis is backed by proof.1York Technical Support. Warranty Voucher The third requirement is where most claims either succeed or stall. Vague descriptions like “compressor not working” will not clear review.
The specific evidence depends on what failed:
- Refrigerant leaks require photos or video of soap bubbles confirming the leak location. A picture of a leak detector alone is not acceptable.
- Compressor failures require the technician to identify the mode of failure (locked rotor, no pump, open limit, and so on) along with supporting readings such as resistance values and refrigerant pressures.
- Electric motor claims require detailed diagnostic procedures with recorded readings. For PSC motors, the start components and their confirmed readings must also be listed.
- Heat exchanger claims require diagnostic procedures, actual readings, and photographs if the exchanger has cracks, leaks, or holes.
- Blower wheel and fan blade claims require pictures of the failed part.
Every diagnosis, no matter the component, must also include actual power supply readings for both high and low voltage.1York Technical Support. Warranty Voucher The technician enters the failure date, the specific part name, and all supporting measurements into the form alongside any uploaded photos or video, verifies that no required field is blank, and submits the voucher electronically.
What Happens After Approval
Once York matches the serial number against its registration records and verifies the diagnostic evidence, it ships the replacement part to the local distributor or the dealer’s warehouse. Your dealer calls you when the part arrives to schedule the install.
The replacement component itself is free under the standard warranty. These costs are not:
- Labor for the technician’s return visit and installation. Diagnostic fees and hourly rates vary by region.
- Shipping and handling fees that some distributors pass along, especially on special-order parts.
- Refrigerant that needs to be recovered and recharged if the repair involves the refrigerant circuit.
If you bought York’s optional extended labor coverage or the YORKCare Protection Plan at the time of installation, labor and related costs may be covered.4YORK. YORK Product Warranties Check your original paperwork or ask your dealer whether any extended coverage is active on your unit.
Why Claims Get Denied
Most problems trace back to a short list of recurring issues:
- The unit was never registered, so the shorter fallback warranty applies and the failure date falls outside coverage.
- The original installer left blank fields on the startup form. York requires every field completed to show the equipment was started properly.1York Technical Support. Warranty Voucher
- The technician submitted readings or descriptions that do not meet the evidence standards, or used a leak detector photo instead of the required soap-bubble confirmation.
- The claim was filed by a contractor who is not an authorized York dealer.
- The failure resulted from improper installation, lack of maintenance, or operating conditions outside the manufacturer’s specifications rather than a defect in the part itself.
If your claim is denied, ask the dealer for the specific reason in writing. An incomplete startup form or thin diagnostic evidence can sometimes be corrected and resubmitted. A denial based on a missed registration deadline is much harder to reverse, which is why the registration check belongs at the start of the process rather than the end.
