The AQHA authorization form is the document you file with the American Quarter Horse Association to let someone else sign registration applications, transfer reports, breeding certificates, and other association paperwork on your account. Fill out the version that matches how your horse is owned, name up to three agents, set the scope of their authority, sign it, and mail it to AQHA’s office in Amarillo, Texas.
Pick the Right Version First
AQHA publishes three separate forms, and using the wrong one will hold up processing. Choose based on who owns the horse:
- Individual proprietorship or joint ownership, for a horse owned by one person or co-owned by two or more individuals such as a married couple or training partners.
- Business entities, for a horse owned by a ranch, corporation, partnership, syndicate, or other business. The form must list the registered entity name exactly as it appears on the AQHA membership account, not an individual’s name.
- Individual under the age of 18, for a horse owned by a minor. A parent or legal guardian typically signs to authorize the agent.
All three are available through AQHA’s website or by calling member services at 806-376-4811, Monday through Friday, 8 a.m. to 4:30 p.m. Central Time.1American Quarter Horse Association. Can I Add My Spouse/Family Member/Business Partner to My AQHA Membership?
What to Have in Front of You
Gather these before you start:
- The owner’s full legal name as it appears on the AQHA membership account. For a business, use the registered entity name.
- The owner’s AQHA ID number, which goes on the first line alongside the name.
- The owner’s current mailing address with city, state, and ZIP.
- Each authorized person’s full legal name and address. The form has space for up to three agents, each with a printed name, address, and signature line.
If you cannot find your AQHA ID number, log in to the myAQHA portal at myaqha.com or call 806-376-4811 to retrieve it.2American Quarter Horse Association. Contact Info
Filling Out the Form
Print or type every entry. Unclear handwriting is a common reason paperwork gets kicked back. On the first line, enter the owner’s name (or entity name) and the matching AQHA ID number, then fill in the complete mailing address on the lines below.
In the authorized-person section, print the full legal name and address of each agent. Each agent signs next to their printed name, and the owner (or an authorized representative of a business entity) signs to grant the authorization.
Read the scope-of-authorization section carefully before you check anything. Some forms let you authorize the agent for all transactions on the account; others let you limit the agent to specific horses or specific types of paperwork. Match the option to what you actually need the agent to do. If someone only needs to sign breeding certificates, blanket authorization gives away more power than the job requires.
Where to Send It
Mail the completed, signed form to AQHA headquarters in Amarillo, using the address that fits your timeline:
- Standard mail: AQHA, P.O. Box 200, Amarillo, TX 79168
- Overnight or courier: American Quarter Horse Association, 1600 Quarter Horse Dr., Amarillo, TX 79104
AQHA’s fees page does not list a separate charge for filing an authorization form, though the association reserves the right to charge $100 per hour for complex transactions that require extra staff time.3American Quarter Horse Association. What Happens Once It’s Processed
After AQHA processes the form, the agent can sign registration applications, transfer reports, breeding certificates, and other association documents within the scope you granted.4American Quarter Horse Association. How Do I Conduct Business for a Membership I Am Listed as an Agent For?
Owners and agents can both check the current authorization through the myAQHA portal, which includes a “View authorized agents” feature showing who is listed on the account. If the portal does not reflect a recently submitted form, call AQHA to confirm the authorization was recorded. Agents conducting AQHA business online should also call 806-376-4811 to make sure their myAQHA account is set up to act on someone else’s behalf.5American Quarter Horse Association (AQHA). myAQHA Member Portal
Removing or Replacing an Agent
To remove an agent, send a written request to AQHA’s records department at the same Amarillo address. The request should identify the owner’s account, name the agent being removed, and state the date the removal takes effect. A phone call or informal email is unlikely to count as a sufficient request. Put it in writing.
To replace one agent with another, submit a new authorization form naming the replacement. AQHA does not allow you to edit an existing authorization on file. Sending the revocation letter and the new form together is the safest way to avoid a gap in coverage.
Timing matters here. Until AQHA processes a revocation, the agent on file can still sign documents on your account, so if a business relationship has ended, don’t wait to send the written notice.
