What to Have Ready Before You Fill It Out
Pull these items together first. Missing information is the single most common reason a cancellation gets delayed.
- Your ASC contract number, which appears on the original agreement from the dealership. If you can’t find your copy, the dealer’s finance office or ASC’s dealer services line at (800) 442-7116 can look it up.2ASC Warranty. ASC Warranty
- Your Vehicle Identification Number. The 17-character VIN is stamped on a plate at the base of the windshield on the driver’s side and also appears on your registration and insurance documents.
- Your current odometer reading. ASC compares this to the mileage recorded at the start of the contract to figure out how much coverage you used, so write it down carefully.
- Your lienholder’s name and loan account number, if you still owe on the vehicle. The refund goes to the lender rather than to you whenever a lien is active.
- A copy of the original contract. The cancellation clause spells out the fee, the refund formula, and anything specific to your agreement, and you want to know what you’re agreeing to before you sign.
Filling Out the Form
The ASC Warranty Cancellation Request Form is a single page.1ARC Nation. ASC Warranty Cancellation Request Form Enter today’s date at the top. That date is what ASC uses to calculate your refund, so don’t leave it blank and don’t backdate it.
Write your name exactly as it appears on the original contract. A mismatch is a common reason requests get bounced back for additional verification. Fill in the contract number, VIN, and current odometer reading in the designated fields. The standard form doesn’t appear to require a notarized mileage statement, though if you want extra protection a dealership service counter can produce a timestamped odometer printout you can attach.
Add your lienholder’s name and loan account number if applicable, and give a current mailing address where correspondence about the refund can reach you. For the reason, something short and direct works: “sold vehicle,” “paid off loan,” or “no longer need coverage.” Sign and date the form. An unsigned form will not be processed.
How to Submit the Form
You have three ways to get the paperwork to ASC. Each has a trade-off.
Through the Selling Dealership
Walking the form into the finance office is the most common route. The finance manager reviews it, countersigns where needed, and forwards it to ASC. The dealership has a direct relationship with the administrator and can flag incomplete forms before they leave the building. The drawback is that you’re adding a middleman, and dealership staff aren’t always eager to process cancellations because the original sale earned them a commission. If you go this way, ask for a signed copy of the form and written confirmation of the date it was sent to ASC.
Direct to ASC by Fax or Email
Fax the completed form to 870-508-6658 or email it to CANCELS@ASCWARRANTY.COM.1ARC Nation. ASC Warranty Cancellation Request Form This is the fastest option and skips the dealership entirely. If you fax, keep the confirmation page showing date, time, and number of pages. If you email, request a read receipt or send a follow-up message asking for confirmation that the attachment arrived. Email attachments sometimes land in spam filters, and you don’t want to find that out six weeks later.
By Mail
If fax and email aren’t workable, mail the form to:

Use certified mail with a return receipt. The green card gives you a date-stamped proof of delivery, which matters if there’s ever a dispute about when the cancellation was initiated. Mail adds a few days to the clock, so build that in if timing matters to your refund calculation.
How the Refund Is Calculated
ASC uses a pro-rata method. You get back the portion of the contract price that corresponds to coverage you didn’t use, measured by either time remaining or miles remaining, whichever produces the smaller refund. If your contract covered 60,000 miles and you drove 40,000, only the value of the remaining 20,000 miles figures in, even if you still had two years left on the term.
A cancellation fee comes off the top. These generally fall between $25 and $75, but the exact figure is in your contract’s cancellation section. Several states cap the fee by law, either as a flat dollar amount or as a percentage of the original premium, so what you actually pay may be lower than ASC’s standard fee depending on where the contract was sold.
Watch for the difference between pro-rata and short-rate language. A pure pro-rata refund only charges for what you used. A short-rate method adds an early-cancellation penalty on top of that. If your contract says “pro-rata” without additional penalty language, you’re on the more favorable formula.
Where the Refund Goes
If you still owe on the vehicle, the refund check goes to your lender and is applied to loan principal. That doesn’t lower your monthly payment; it shortens the life of the loan. If the refund exceeds the remaining balance, the lender issues the difference to you.
If you own the vehicle outright, ASC mails the check to the address on your cancellation form. Confirm the address is current before you submit, because a returned check adds weeks while ASC tracks you down.
Expect the refund within 30 to 60 days of ASC receiving valid paperwork. If you submitted through a dealership, the clock starts when the dealership actually forwards the form, not when you handed it to the finance manager. That’s one more reason to go direct when you can.
Free-Look Window and State Fee Limits
Most states give you a window after purchase, commonly 30 to 60 days, during which you can cancel for a full or nearly full refund minus any claims already paid. This free-look period exists so buyers who felt pressured at the dealership can reconsider without losing money. If you’re inside the window, cancel now; the refund drops substantially once pro-rata takes over.
State consumer protection laws also govern what happens afterward. Some states require the administrator to return at least 90 percent of the unearned pro-rata premium when the contract holder cancels. Others cap the administrative fee at 5 percent of the gross premium. Which rules apply depends on where the contract was sold, not where ASC is headquartered. If you think ASC withheld more than your state allows, your state’s department of insurance is the place to raise it.
When Transferring the Contract Makes More Sense
If you’re selling to a private buyer, transferring the service contract can beat canceling. A transferable warranty makes the car more attractive, and you avoid both the cancellation fee and the pro-rata haircut. The buyer takes over the remaining coverage as if they’d bought it themselves.
Transfers usually cost a small administrative fee, typically $50 to $100, and most administrators require the transfer to be done within 30 days of the sale. Look in your contract for a section titled something like “How This Contract May Be Transferred.” Not every contract is transferable, and some exclude dealer trade-ins, limiting the option to direct private sales. You’ll typically need to show the vehicle was maintained on the manufacturer’s schedule during your ownership. Call ASC’s dealer services line at (800) 442-7116 to confirm whether your contract qualifies and to request the transfer paperwork.2ASC Warranty. ASC Warranty
Following Up If the Refund Doesn’t Arrive
Set a calendar reminder for 45 days after your submission date. If you haven’t received a check or any written acknowledgment by then, call ASC at (800) 442-7116 with your contract number ready.2ASC Warranty. ASC Warranty Ask for a status update and note the name of the representative you spoke with. If you submitted through a dealership, call the dealership first to confirm the form was actually forwarded.
If ASC doesn’t respond or the refund amount looks wrong, you have escalation options. File a complaint with your state’s department of insurance or attorney general’s office, since vehicle service contracts fall under insurance regulation in most states. The Better Business Bureau is another avenue and sometimes prompts faster resolution from companies that watch their rating.
Keep every document you send and receive: the completed form, fax confirmations, email timestamps, certified mail receipts, and any written correspondence from ASC. If a dispute reaches a regulator, that paper trail is the difference between a resolved claim and a stalled one.
