The CSUF withdrawal form is how you formally drop a course after the early drop period closes, and you submit it online through Titan Online on your Student Homepage. Once submitted, the form routes to your instructor and department chair for approval, and if approved, a “W” grade posts to your transcript for that course. The “W” does not affect your GPA, but withdrawing has downstream effects on your unit cap, tuition refund, and financial aid that are worth understanding before you file.1California State University, Fullerton. When You Need the Form
Before Week 3 of a fall or spring semester, you can drop a course directly through your Student Homepage without approvals and without a “W.” That cutoff is called the mini census date. After it passes, the formal withdrawal form is the only route out.1California State University, Fullerton. Withdrawal FAQ
The withdrawal window runs from Week 3 through Week 15, and it splits into two periods with different standards:
- After mini census through the first 80% of instruction. You must show “serious and compelling reasons” for withdrawing, meaning documented circumstances that limit your ability to participate fully. Both the instructor and department chair must approve.2California State University, Long Beach. CSU Executive Order 1037
- Final 20% of instruction. Withdrawal is allowed only for accidents or serious illness clearly beyond your control, and only when an Incomplete grade is not practical. An additional academic administrator appointed by the university president must also sign off.2California State University, Long Beach. CSU Executive Order 1037
Poor performance, low effort, or spotty attendance do not qualify as serious and compelling reasons in either window.3California State University, Fullerton. Add/Drop Classes
What to Have Ready Before You Open the Form
Have these in front of you before starting:
- Your ten-digit Campus Wide Identification (CWID) number, printed on your Titan Card and shown in your Student Center.
- The exact course prefix, number, and section for every class you want to withdraw from.
- Supporting documentation that directly proves the circumstances you are citing.
Documentation is where most requests succeed or fail. For a medical reason, provide a signed letter from your healthcare provider on professional letterhead explaining how the condition limits your ability to finish the course. For a work conflict or relocation, use a verified statement from your employer. Court subpoenas, military orders, and similar legal documents also work. A request submitted without specific documentation is routinely denied.3California State University, Fullerton. Add/Drop Classes
How to Submit the Form and What Happens Next
Log in to your Student Homepage, open Titan Online, and locate the withdrawal form.4PeopleSoft/CMS/ERP Knowledge Base. Student Course Withdrawal Form Complete the fields, attach your documentation, and submit. From there the form follows a set path:
- It goes first to the instructor of record, who approves or denies.
- If approved, it moves to the department chair for a second review.
- During the final 20% of instruction, an additional academic administrator must also approve.
You can track status through the Task tile or Student Center on your portal, and the final decision is emailed to your official CSUF address. Once approved, a “W” posts to your transcript for the course. It is not a performance mark and is not factored into your GPA.3California State University, Fullerton. Add/Drop Classes
The 18-Unit Lifetime Cap
CSUF caps non-medical withdrawals at 18 units across your entire undergraduate career on campus. Each approved non-medical withdrawal after mini census and before the final 20% of instruction counts toward that ceiling.5California State University, Fullerton. Student-Initiated Drop and Withdrawal Policy
Two categories do not count against the cap: approved medical withdrawals after mini census, and withdrawals approved during the final 20% of instruction (which have to meet the stricter accident-or-illness standard). Once you reach 18 units, the university will not approve additional non-medical withdrawals. If you are close to the ceiling, ask your instructor whether an Incomplete is workable before you file.5California State University, Fullerton. Student-Initiated Drop and Withdrawal Policy
Tuition Refunds and Financial Aid
California regulations give a pro-rata tuition refund only if you officially withdraw on or before the 60% point of the academic period. Past that point, no refund of tuition or mandatory fees is available.6Legal Information Institute. California Code of Regulations Title 5 41802 – Refund of Fees Including Nonresident Tuition Because the formal window does not open until Week 3 and approvals take time, later withdrawals often produce little or no refund.
If you receive federal financial aid, a withdrawal triggers a Return of Title IV Funds (R2T4) calculation that measures how much aid you actually earned based on days attended. Withdraw before the 60% point and a portion of your aid must be returned; withdraw after it and you are treated as having earned 100% of that period’s aid.7Federal Student Aid Handbook. General Requirements for Withdrawals and the Return of Title IV Funds
Withdrawn units also count as attempted-but-not-completed toward Satisfactory Academic Progress, which requires completion of at least 66.67% of cumulative attempted units to keep aid eligibility. Enough W grades and you can lose aid entirely and have to appeal to get it back.8CSUF Office of Financial Aid. Satisfactory Academic Progress (SAP) Policy The Financial Aid Office requires a consultation before a withdrawal involving aid is finalized.
Special Situations to Handle Before You File
F-1 and J-1 International Students
Visa holders must maintain full-time enrollment: 12 units for undergraduates, 9 units for graduate students. A withdrawal that drops you below the threshold puts your status at risk. Speak with an International Students and Scholars (ISS) advisor before withdrawing, and if going under full-time is unavoidable, file a Reduced Course Load application through ISS and wait for approval. Going part-time without an approved RCL can put you out of status.9California State University, Fullerton. Current Students – Maintaining Status
Students Using VA Education Benefits
A “W” grade means the VA cannot pay benefits for that course. If benefits were already disbursed, tuition is returned to the VA by the school and you owe the school that amount; housing and book stipends must be repaid directly to the VA. When the VA accepts mitigating circumstances, repayment is reduced to benefits received after the withdrawal date. The VA also allows a one-time, six-credit-hour exclusion that applies mitigating circumstances automatically without documentation. Contact the CSUF Veterans Resource Center before filing to see where you stand.
If the Semester Is Already Over
Missing the regular window does not necessarily end your options. Retroactive withdrawal petitions become available two weeks after finals week, and current students who have not yet graduated from CSUF can petition for a past semester going back up to five years. Students who have already graduated from CSUF are not eligible. The documentation bar is higher for a retroactive petition: you have to justify the withdrawal itself and explain why you could not withdraw during the normal timeframe.10CSUF Office of the Registrar.
