To cancel a HOTWORX membership, deliver a signed cancellation request to your home studio either in person or by certified mail. If you’re still inside the initial six-billing-cycle term, expect a $99 early cancellation fee plus any outstanding balance. After that term ends, cancellation is free at most locations as long as your notice arrives before the next billing date. HOTWORX studios are independently owned franchises, so your signed membership agreement controls the exact notice period and process. Pull it up before you start.
The Two Accepted Submission Methods
HOTWORX does not accept cancellations through the app, member portal, phone calls, or social media. You have two options, and both leave a paper trail you’ll want later.
- In person at your home studio during staffed hours. Sign the cancellation form and ask the manager for a signed or stamped receipt showing the date they received it. Don’t leave without that receipt.1HOTWORX. HOTWORX Membership Agreement
- Certified mail with return receipt requested, sent to your home studio’s address. The return receipt gives you a post-office-stamped delivery date, which is what establishes when the notice period officially begins.1HOTWORX. HOTWORX Membership Agreement
Your letter or form should include your full name, member ID, the home studio name and address, and a clear statement that you’re terminating your membership. Include the effective date you want, and keep a copy of everything. After the studio processes the request, you should get a confirmation by email or printed statement. If nothing arrives within two weeks, follow up in writing. That confirmation is what you’ll rely on if charges keep appearing on your bank statement.
Canceling Inside the Initial Six-Month Term
Every HOTWORX membership starts with an Initial Term, typically defined as six billing cycles beginning the first of the month after your sign-up date.2HOTWORX. HOTWORX Membership Terms and Conditions You can cancel during this window, but it costs a flat $99 early cancellation fee, and any outstanding balance has to be paid in full at the time of cancellation.3HOTWORX. The cancellation requires your signature or the signature of an authorized legal representative. Once the studio processes it, your access stops immediately and all benefits end. If you rejoin later at any HOTWORX, you’ll pay new enrollment fees and start a new agreement at whatever the current pricing is. Your old rate does not come back.2HOTWORX. Canceling After the Initial Term
Once the six billing cycles are up, your membership rolls over to month-to-month and you can cancel at any time without a fee.3HOTWORX. HOTWORX Membership Terms and Conditions The trick is submitting your notice before the next billing cycle starts. Dues typically process on the first of each month, so canceling mid-month means you keep access through the end of that period but won’t be charged again.4HOTWORX. HOTWORX Membership Terms and Conditions
Because studios are franchised, some locations require a longer notice period. Certain studios ask for 60 days’ written notice, which means you could owe dues for two additional billing cycles after you submit your paperwork. Look at the cancellation section of your specific agreement. If it says “cancel at any time” with no notice clause, you’re in the simpler category. If it specifies advance notice, mark your calendar accordingly.
The Cooling-Off Window for Brand-New Members
If you just signed and are having second thoughts, you likely have a short window to walk away without paying the $99 fee. Most state health club laws give consumers between three and seven business days after signing to cancel a fitness contract and receive a full refund, and HOTWORX agreements incorporate that right. One Georgia location, for example, provides seven business days from the date of signing.5HOTWORX. HOTWORX Membership Agreement – GA0077 The exact number of days depends on your state’s law and should be printed near the top of your agreement.
To use this right, mail or hand-deliver a cancellation letter to your home studio before midnight on the last day of the window. A mailed letter needs to be postmarked by that deadline. Return any membership cards, contract copies, and other materials the studio gave you. The studio then has 30 days to refund payments for services you didn’t use.5HOTWORX. Freezing Instead of Canceling
If your situation is temporary, a medical recovery, extended travel, or a short work assignment somewhere else, freezing lets you pause billing without losing your current rate or paying new enrollment fees when you return. Request the freeze in writing through the studio; ask the front desk for the freeze request form.3HOTWORX. HOTWORX Membership Terms and Conditions
A small monthly maintenance fee applies during the freeze. The amount varies by location but is typically around $9 to $15 per month. Most agreements cap the freeze at three consecutive months within a single calendar year.3HOTWORX. HOTWORX Membership Terms and Conditions When the freeze ends, billing restarts automatically at your original rate. The studio won’t send you a reminder, so track the return date yourself.
Cancellation for Closure, Disability, or a Move
If your home studio permanently closes, you may be entitled to cancel without penalty and receive a refund. Some HOTWORX agreements explicitly allow cancellation if the club goes out of business, moves, or fails to open by its promised date, and may reference a surety bond or letter of credit that covers member refunds. Check your contract for that language.6HOTWORX. HOTWORX Membership Terms and Conditions
Several HOTWORX agreements also let you cancel if you become permanently disabled or move away from the area.6HOTWORX. HOTWORX Membership Terms and Conditions Whether these provisions waive the $99 early cancellation fee depends on your specific contract and your state’s health club laws. Some states prohibit gyms from charging cancellation fees when a member has a documented medical hardship. A letter from your doctor describing the condition and its expected duration strengthens your position. If You’re Still Charged After Canceling
Post-cancellation charges are one of the most common complaints HOTWORX members report. If you see a charge after your termination date, contact the studio in writing rather than by phone, and reference your cancellation confirmation and the date the studio received your notice. Keep the tone factual and attach a copy of your receipt or certified mail return card.
If the studio doesn’t reverse the charge within a reasonable time, file a dispute with your bank or credit card company. Provide the cancellation confirmation, the date the studio acknowledged it, and a copy of your membership agreement showing the cancellation terms. If your dues come out of a debit card or bank account and you’re worried about continued drafts, some members ask their bank to block future charges from the merchant once the cancellation is fully processed. Complaints that go nowhere at the studio level can go to your state attorney general’s consumer protection division, the Better Business Bureau, or the HOTWORX corporate office at (855) 504-4899.
