How to Fill Out and Submit the TIAA Direct Deposit Authorization Form

The TIAA Direct Deposit Authorization Form sends your retirement distributions electronically to a personal checking or savings account. To complete it, you need your Social Security or Taxpayer Identification Number, your TIAA contract numbers, your bank’s routing and account numbers, and — for any bank account TIAA doesn’t already have on file — a voided check, a bank letter with a signature guarantee, or a bank-generated deposit setup form. Submit the finished form by secure online upload, by mail, or by fax (fax only works if the account is already on file). Once TIAA has everything and validates the account, deposits typically arrive within two business days.1TIAA. Direct Deposit Authorization

You can download the form from TIAA’s secure forms library, get it through your employer’s benefits portal, or request one by calling TIAA at 800-842-2252.2TIAA. TIAA Customer Service Contact

What To Gather Before You Start

The form has three information blocks and one documentation requirement. Collect everything up front so you aren’t hunting for numbers mid-form.

Personal identification. Your full Social Security number or Taxpayer Identification Number. TIAA won’t process the form without it, and an incorrect or missing TIN can trigger IRS backup withholding at 24% on your distributions.3Internal Revenue Service. Withholding Certificate for Nonperiodic Payments and Eligible Rollover Distributions Confirm the digits before you sign.

TIAA and CREF contract numbers. The form has space for up to eight. If you want the same banking instructions applied across multiple accounts, list all of them.1TIAA. Direct Deposit Authorization

Bank account details. Four items: the institution’s full name, the nine-digit ABA routing number, your account number, and whether the account is a personal checking or personal savings account. The routing number sits at the bottom left of a check, with the account number next to it. If you don’t have paper checks, your bank’s online portal or customer service line will give you both. Business and brokerage accounts aren’t accepted — the form is for personal accounts only.1TIAA. Direct Deposit Authorization

The Supporting Document for a New Bank Account

This is where most requests stall. If TIAA doesn’t already have the bank account on file from a previous transaction, you must include one of three documents:1TIAA. Direct Deposit Authorization

  • A voided check from the account. Starter checks, deposit slips, and third-party checks don’t qualify.
  • A letter on the bank’s letterhead listing the account name, address, routing number, account number, and account type. The bank representative’s signature has to be notarized by the bank’s own notary or carry a signature guarantee stamp or seal.4TIAA. Taking Money Out of Accounts
  • A bank-generated deposit setup form carrying the same five pieces of information as the bank letter.

If TIAA already has the account on file, skip the documentation entirely. One other thing worth knowing: a notary stamp is only required on the bank representative’s signature, not on yours.1TIAA. Direct Deposit Authorization

Filling Out the Form

The form uses individual boxes for each character of your routing and account numbers, which cuts down on handwriting errors. On a printed copy, use black ink and print clearly. Every digit matters: one transposed number in the routing field sends your deposit to the wrong institution, and if TIAA can’t validate the account it defaults to mailing a paper check to the address on file.1TIAA. Direct Deposit Authorization

Work the sections in order. Section 1 is your personal information and SSN or TIN. Section 2 lists your TIAA and CREF contract numbers. Section 3 captures the bank name, routing number, account number, and account type. Then sign and date at the bottom. Your signature authorizes TIAA to deposit payments into the account you listed.1TIAA. Direct Deposit Authorization

How To Submit It

TIAA accepts the form three ways, but the channel you can use depends on whether the bank account is new.

Online Upload

The fastest route. Log in to your TIAA account, open the QuickLinks section under My Account, and select Upload Documents.5TIAA. FAQs – Documents and Research Upload the completed form as a PDF with your supporting document. The upload portal encrypts the transmission, which makes it the most secure of the three methods.

Mail

Send the form and any original supporting documents to one of these addresses:1TIAA. Direct Deposit Authorization

  • Standard mail: TIAA, P.O. Box 1268, Charlotte, NC 28201-1268
  • Overnight delivery: TIAA, 8500 Andrew Carnegie Blvd., Charlotte, NC 28262

For sensitive documents, overnight delivery with tracking gives you proof the package arrived. Using the wrong address delays processing.

Fax

You can fax the form to 800-914-8922 within the U.S. or 704-595-5795 internationally, but only if you’re directing payments to a bank account TIAA already has on file. New account setups cannot be faxed; TIAA requires original documentation, which has to be mailed or uploaded.1TIAA. Direct Deposit Authorization If you fax a new-account request, expect it to be rejected.

Processing Time and What To Expect

After TIAA receives the completed form and all required documentation, direct deposits typically arrive within two business days.1TIAA. Direct Deposit Authorization The clock starts after the bank account is validated, not when you drop the form in the mail. For new accounts, verification sometimes involves test deposits that take an additional one to two business days and require your confirmation.6TIAA. TIAA Direct Deposit Disbursement Authorization

If validation fails for any reason — wrong routing number, missing documentation, an account that doesn’t accept electronic deposits — the system falls back to a paper check mailed to your address on file. Paper checks take eight to ten business days by standard mail.1TIAA. Direct Deposit Authorization You can track the request by logging in to your TIAA account and checking whether the updated banking information shows up in your profile. Then watch the bank account around your next scheduled distribution date to confirm the deposit landed.

Changing the Bank Account Later

To redirect your distributions to a different bank account, submit a new Direct Deposit Authorization Form with the updated details and fresh supporting documentation. The same rules apply: a voided check, a bank letter with signature guarantee, or a bank-generated deposit setup form for any account TIAA doesn’t already have on file.1TIAA. Direct Deposit Authorization

Note that this form only governs direct deposit routing. Federal and state tax withholding on your distributions is set on separate forms (Form W-4P for periodic payments, Form W-4R for nonperiodic and rollover payments), so changing where your money lands won’t change how much is withheld.7TIAA.
