How to Fill Out the IRCC Web Form: Withdrawals, Documents, PR Cards

The IRCC web form is the online contact tool on canada.ca that you use to reach Immigration, Refugees and Citizenship Canada about a pending application: to submit missing documents, report a change in your circumstances, ask about a file that has passed its posted processing time, flag a technical problem, or request a withdrawal. No GCKey or portal account is needed. Before you open it, though, check your application status and the posted processing time first, because IRCC states plainly that submitting a web form will not speed up your application.1Immigration, Refugees and Citizenship Canada. When the Web Form Is the Right Channel

IRCC groups web form use into a specific set of tasks: updating an application (for example, submitting new documents), asking about an application that has exceeded normal processing times, reporting a technical problem, asking about programs or services, and sharing feedback.1Immigration, Refugees and Citizenship Canada. Life changes that affect a pending file belong here: a marriage, the birth of a child, a new address, a new passport. So do corrections to something you already submitted. Fixing an error before a decision is far easier than fixing the record afterward.

What the form is not for: chasing an application still inside its posted processing window. IRCC says that if you have not heard from them recently, they are still working on your file and you do not need to do anything.1Immigration, Refugees and Citizenship Canada. What to Have Ready Before You Start

You cannot save a draft, so pull everything together first.

Your Unique Client Identifier (UCI), sometimes called a client ID, appears on all official correspondence from IRCC. It is formatted as four digits, a hyphen, and four more digits (0000-0000), or as two digits, a hyphen, four digits, a hyphen, and four more digits (00-0000-0000).3Immigration, Refugees and Citizenship Canada. What Is a UCI Your application number starts with a letter followed by nine numbers or letters, for example B000000000 or EP00000000.4Immigration, Refugees and Citizenship Canada. If you have never submitted an application and are only reporting a technical issue or asking a general question, use the placeholder values IRCC provides: enter 0000000 in the application number field and 1111111111 in the UCI field.1Immigration, Refugees and Citizenship Canada. Also have your full legal name as it appears on your passport, your date of birth, and your country of birth. If you plan to attach documents, save them in digital form before opening the form.

Filling Out the Form

The form lives on canada.ca under the Contact Us section. Open it directly in your browser; there is no sign-in step.

Choosing What You Applied For

An early dropdown asks what your application is for. The options are Refugee, Temporary Residence, Permanent Residence, Permanent Resident Card, Permanent Resident Travel Document, Citizenship, Certificate of Identity/Refugee Travel Document, and Status Document.5Immigration, Refugees and Citizenship Canada. Add a Document to Your Application Pick carefully. The choice routes your message to the team handling that file type, and a wrong pick means your inquiry sits in the wrong queue until someone redirects it.

Writing the Message

Keep the message factual and short. State what changed, what you need, or what you are asking. Include the dates, document names, and reference numbers that matter. Skip the backstory. If you are reporting a life change, name the event and its date, for instance, “Married on April 12, 2026; marriage certificate attached.” If you are asking about a delay, give the date you submitted and the posted processing time you are comparing against.

Attaching Documents

The form has an upload step. Accepted formats are PDF, JPG, TIFF, PNG, DOC, and DOCX. Each file can be up to 2 MB. If you upload more than one, the combined total cannot exceed 3.5 MB.5Immigration, Refugees and Citizenship Canada. Add a Document to Your Application Those ceilings are tighter than what the regular IRCC portal allows for application uploads, so you may need to compress images or split PDFs. IRCC’s help centre has file-size reduction tips for each format.6Immigration, Refugees and Citizenship Canada. My Documents Are Too Large to Upload – How Do I Reduce the File Size Check every attachment for legibility. Blurry scans or cropped certificates can get the submission flagged as incomplete.

Review and Send

A summary page shows everything you entered. Compare names, dates, and reference numbers against what IRCC already has on file; a mismatch will slow things down. Complete the CAPTCHA and submit. A confirmation screen appears in your browser once it goes through.

Using the Form to Withdraw an Application

To cancel an application through the web form, include a clear statement that you want to withdraw, the reason, the date you originally submitted the application, and your payment receipt number if you have it.7Immigration, Refugees and Citizenship Canada. Withdraw (Cancel) Your Application You can upload a separate letter of explanation for more detail. Keep a copy. If the application is already under additional review, IRCC will contact you and the withdrawal may not be immediate.

Using the Form to Appoint or Change a Representative

If you want a lawyer, licensed consultant, or family member to deal with IRCC for you, the web form is where you submit the Use of a Representative Form (IMM 5476). That form authorizes IRCC and the Canada Border Services Agency to communicate with your representative instead of you.8Immigration, Refugees and Citizenship Canada. Use of a Representative Form

The same form covers appointing a new representative, cancelling a current one, or replacing one. IRCC requires the current version of IMM 5476 (dated 11-2025); older versions are accepted until March 12, 2026.8Immigration, Refugees and Citizenship Canada. Use of a Representative Form Dependent children aged 18 or older each need their own IMM 5476 if the representative will act for them too.

Using the Form for an Urgent PR Card Request

For Permanent Resident card renewals when you need to travel within three months, IRCC recognizes three qualifying emergencies: a family member who has died or is seriously ill, work travel your job depends on, and a medical emergency requiring treatment abroad. Vacations and non-emergency family events do not qualify.

Each situation calls for specific proof attached to the web form:

  • Family illness or death: a doctor’s letter on letterhead, a death certificate, or hospital confirmation.
  • Work travel: a letter from your employer on company letterhead describing the obligation, the travel date, why you specifically are needed, and a contact phone number.
  • Medical emergency: a letter from your treating physician describing the condition, the recommended treatment location, and why it cannot wait or be done in Canada.

Always include a typed letter explaining the qualifying reason, your travel date, and why the trip cannot be postponed, plus proof of travel such as a flight reservation. The web form here adds supporting documents to an application you have already filed; it does not replace the application itself.

After You Submit

A successful submission produces an acknowledgement of receipt (AOR) confirming IRCC has your web form.1Immigration, Refugees and Citizenship Canada. IRCC Web Form – Contact Us Online If nothing arrives within a few hours, check your spam folder. If it never arrives, the submission may not have gone through and you should try again.

IRCC does not publish a guaranteed response time, and turnaround depends on volume and complexity. Worth knowing before you write: IRCC states that its agents do not have more information than what the online tracker already shows.1Immigration, Refugees and Citizenship Canada. IRCC Web Form – Contact Us Online If the tracker says “in progress” and the posted processing time has not elapsed, a status inquiry will not produce new information. Save the form for the moments when the time has genuinely passed or when you have something concrete to report or attach.

Accuracy Matters: Misrepresentation Consequences

Everything you send through the web form becomes part of your official immigration file, and false or misleading information carries heavy consequences. Under section 40 of the Immigration and Refugee Protection Act, a finding of misrepresentation makes you inadmissible to Canada for five years, during which you cannot apply for permanent residence. The five years run from the date of the final inadmissibility determination if made outside Canada, or from the date a removal order is enforced if made inside Canada.9Justice Laws Website. Criminal penalties reach further. Conviction on indictment can bring a fine of up to $100,000, imprisonment for up to five years, or both. A summary conviction carries a fine of up to $50,000, imprisonment for up to two years, or both.10Justice Laws Website. Immigration and Refugee Protection Act – Section 128 A misrepresentation finding also stays on your immigration record after the five-year ban ends and can shape how officers view later applications.
