To send pay stubs for income verification, pull a current stub that shows your name, employer, pay period, and gross and net pay; black out your full Social Security number and any bank account information; and transmit the file through a secure portal, encrypted email, or Certified Mail so you have proof it arrived. The reviewer wants confirmation that your income is real and steady. Everything else on the document is either optional or a liability if it falls into the wrong hands.
What a Valid Pay Stub Has to Show
A pay stub used for verification needs a specific set of data points, and a reviewer will push back if any are missing. Those are your legal name, your employer’s name and address, the pay period dates, and the actual pay date. Gross earnings should be clearly separated from net pay. Itemized deductions for federal income tax, Social Security, and Medicare should also be visible, because they confirm you’re on a legitimate payroll rather than receiving informal payments.
Most employees can download these records from a payroll portal or request them from HR. Employers are required under the Fair Labor Standards Act to preserve payroll records for at least three years from the last date of entry, so older stubs should still be retrievable if you need them.1eCFR. 29 CFR Part 516 – Records to Be Kept by Employers
How Recent It Needs to Be
Submitting an outdated stub is one of the fastest ways to stall an application. For mortgage applications, Fannie Mae requires the most recent pay stub to be dated no earlier than 30 days before the initial loan application date, and it must include year-to-date earnings.2Fannie Mae. Standards for Employment and Income Documentation Landlords don’t always follow a formal rule, but most expect documentation from within the last 30 to 60 days. If your latest stub is older than that, request a current one before you send anything.
Redact Before You Send
Before the document leaves your hands, strip out anything the reviewer doesn’t need. On a printed copy, use a dark permanent marker to cover the first five digits of your Social Security number, leaving only the last four visible. Black out bank account and routing numbers entirely. The reviewer needs your income, not your banking credentials.
Digital redaction takes more care than most people give it. Drawing a black box over text in a PDF editor often leaves the underlying data intact, and someone can copy, paste, or extract that hidden text from the file’s metadata. True redaction removes the content from the file. Adobe Acrobat and most other full-featured PDF editors include a dedicated redaction tool that strips the text rather than just covering it. After redacting, inspect the file for hidden layers, comments, and embedded metadata, then flatten the PDF into a single layer before saving.
Scanning a paper copy? Use at least 300 DPI so the remaining text stays legible, and save it as a standard PDF rather than JPEG or TIFF to avoid compatibility problems on the reviewer’s end.
Sending It Digitally
Most lenders and landlords now accept pay stubs through a secure online portal. Before you upload, confirm the website address starts with “https.” The “s” means the connection is encrypted. Upload the redacted PDF, submit, and look for a confirmation message or reference number.
If the recipient asks you to email the document instead, don’t attach the raw file. Password-protect the PDF using AES 256-bit encryption, which most PDF editors support. Then send the password through a different channel, like a text message or phone call. Sending the file and the password in the same email defeats the point. Some email providers also offer built-in encryption; turn it on before sending anything that contains income or identity data.
Sending It by Mail
Physical delivery still works when digital options aren’t available. Place the stubs in a security-lined envelope so the contents aren’t visible through the paper. Address the envelope to a specific person or department rather than just the company name, which reduces the chance of someone unauthorized opening it.
USPS Certified Mail is the standard choice. It provides a tracking number and requires a signature on delivery, giving you a verifiable chain of custody. The Certified Mail fee is $5.30 per item as of January 2026, on top of regular postage.3USPS. Notice 123 – January 2026 Price Change That’s a small cost for proof that your sensitive documents actually arrived.
Confirm It Got There
After submitting, watch for an automated confirmation message or a status update in the portal. If neither appears within a business day, contact the recipient to confirm the files arrived and are readable. A corrupted file or an upload that silently failed can delay your application by weeks.
Many lenders and larger landlords skip manual review and use automated verification services instead. The Work Number, operated by Equifax, connects with over 4.8 million contributing employers and can return income and employment data within seconds.4The Work Number from Equifax. Income and Employment Verification Services If your employer participates, the verifier may confirm your pay stub details through this database rather than calling your payroll office.5The Work Number from Equifax. How It Works In other cases, a representative will contact your employer directly. Either way, the goal is to confirm that the earnings on your pay stub match what the employer has on record, so expect that cross-check to happen.
If You Don’t Have Pay Stubs
If you’re self-employed, this process doesn’t apply the same way, and sending a stub you generated yourself won’t satisfy a lender. For mortgage applications, Fannie Mae typically requires two years of signed federal income tax returns, both personal and business, to establish stable income. If your business has operated for at least five years and you’ve held a 25% or greater ownership stake throughout, you may qualify with just one year of returns.6Fannie Mae. Underwriting Factors and Documentation for a Self-Employed Borrower Year-to-date profit and loss statements and balance sheets are common additions. Lenders may also ask you to sign IRS Form 4506-C, which lets them request your tax transcripts directly from the IRS.7IRS. Form 4506-C – IVES Request for Transcript of Tax Return
Don’t Alter the Numbers
One warning before you send anything. Fabricating or inflating a pay stub to qualify for a loan is a federal crime under 18 U.S.C. ยง 1014, carrying a maximum penalty of 30 years in prison and a fine of up to $1 million.8Office of the Law Revision Counsel. 18 USC 1014 – Loan and Credit Applications Generally On the rental side, a landlord who discovers falsified documentation after signing a lease can pursue eviction, and the resulting judgment follows you through future background screenings. Between automated verification databases and routine employer calls, altered stubs are caught more often than people expect. If your real numbers aren’t enough, ask about co-signers or a larger deposit rather than editing the document.
