To file a United Airlines reimbursement claim for hotel, meal, or ground transportation costs caused by a controllable flight disruption, submit your itemized receipts through the Customer Care portal at united.com/customercare. There is no separate reimbursement form. The catch that decides most claims: United will only repay you if it could not offer you a voucher at the time, or if you used its voucher and had reasonable additional costs on top.
What United Will Pay For
United’s obligations come from its published Customer Commitment and its Contract of Carriage, not from federal law. For disruptions within its control, United commits to a meal voucher after a three-hour wait for a new flight, complimentary hotel accommodations for overnight cancellations or delays, and ground transportation to and from the hotel when no shuttle is available.
These are normally handed out as vouchers at the airport. Reimbursement enters the picture when the airline cannot deliver on that commitment. The Customer Commitment page puts the hotel case plainly: “If we’re unable to offer you a hotel voucher because a room at one of our hotel partners is not available, and you find and pay for a different place to stay, you can submit your receipt to our Customer Care Team, and we’ll reimburse you for reasonable hotel costs.”1United Airlines. Our United Customer Commitment
The same logic applies to meals and rides. If United cannot get you what it promised, pay out of pocket, keep the receipts, and file.
When United Will Not Reimburse You
The most common reason claims fail is that the traveler turned down a voucher and paid on their own instead. The Contract of Carriage states: “Where lodging has been offered but not accepted by a Passenger for whatever reason, UA is not liable to reimburse the Passenger for expenses relating to alternative lodging secured independently by the Passenger.”2United Airlines. Contract of Carriage Document The same rule applies to meals and transportation. If a gate agent offers a voucher and you decide to book somewhere nicer on your own, United has no obligation to cover the cost or the difference.
Several other situations sit outside United’s lodging obligation even when the delay is the airline’s fault:
- Disruptions at your home airport, origin city, or a planned stopover city.
- Diversions to an airport United treats as part of the same metro area. Newark, LaGuardia, JFK, and White Plains are grouped together; so are SFO, Oakland, and San Jose.
- Disruptions caused by weather, air traffic control, or other factors outside United’s control.
Timing matters too. The Contract of Carriage’s lodging provision requires the delay to exceed four hours between 10:00 p.m. and 6:00 a.m. local time.2United Airlines. Contract of Carriage Document A five-hour afternoon delay, controllable or not, does not trigger the overnight lodging commitment.
How to Submit the Claim
Go to united.com/en/us/customercare. You can also reach it from the United homepage footer under “Contact Us” or “Customer Care.” United’s refund page confirms this is the right route: “Contact Customer Care if you need to be reimbursed for expenses caused by a delayed or cancelled flight.”3United Airlines. Refund Form
You do not need to create an account, though signing in with MileagePlus credentials pre-fills some fields and helps United match the claim to your itinerary.
Flight Details to Have Ready
Two numbers matter. Your six-character confirmation code, which is a mix of letters and numbers from your booking email. If you booked through Expedia or another agency, use the United confirmation code, not the agency’s. And your 13-digit ticket number, which begins with “016” for United-issued tickets.4United Airlines. Find a Trip – Manage Your United Reservations Both are on your original booking confirmation.
The form also asks for name, mailing address, email, phone number, and MileagePlus number if you have one. Use accurate contact details. All follow-up goes to the email address you enter.
Receipts and Description
Receipts are the claim. United needs itemized receipts showing date, vendor, and total. Credit card statements alone are not enough because they show a lump charge without breaking out what you bought. Photograph or scan each receipt so the text is legible; JPEG and PDF both work.
A few things reduce back-and-forth with the claims team:
- Upload the hotel folio separately from each meal and ride receipt, one receipt per expense.
- Make sure every receipt date falls between your original scheduled departure and when you actually departed.
- Use the free-text field to explain what happened and why each expense was necessary. Something like “Hotel booked after gate agent confirmed no vouchers were available due to hotel partner sell-out” gives the reviewer what they need.
If you want written proof of the cancellation or delay itself, United says to visit united.com/customercare and complete the request form with your flight details, and the airline will email the information.5United Airlines. Missed, Delayed and Canceled Flights It is not required for a reimbursement claim, since United can verify disruptions internally, but it helps if you later need to escalate.
After You Submit
An automated email with a case number should arrive within a few minutes. If it doesn’t, check spam. That case number is your only handle for tracking the claim. Save the email.
United does not publish a specific timeline for expense reimbursement. For reference, its refund policy processes credit card refunds within seven business days and all other refunds within 20 business days.6United Airlines. Refund Policies Expense claims usually take longer because they require manual review of receipts. Anywhere from a few weeks to over a month is realistic, especially after major weather events or operational meltdowns that flood the queue.
If approved, United may issue payment as a check, electronic transfer, or travel credit. The Customer Commitment page notes that travel credits are valid for one year, cannot be transferred, and can only be used on United and United Express flights.1United Airlines. Our United Customer Commitment You do not have to accept credits. If a representative offers credits and you prefer cash, say so explicitly.
If Your Claim Is Denied
A denial is not the end. Reply to the denial email or resubmit at united.com/customercare with additional documentation and a clear explanation of why you believe the denial is wrong. Reference your case number every time so the next agent isn’t starting fresh.
If United’s internal process does not resolve it, the Department of Transportation accepts consumer complaints. DOT instructions say to try the airline first, then file at airconsumer.dot.gov if you remain unsatisfied.7US Department of Transportation. File a Consumer Complaint You can also mail a complaint to the Office of Aviation Consumer Protection, U.S. Department of Transportation, 1200 New Jersey Avenue SE, Washington, DC 20590. The DOT forwards complaints to the airline and requires a response, though it does not investigate every case. Complaints are tracked in aggregate for compliance reviews, and filing one often prompts a more senior review than the initial Customer Care response.
Ticket Refunds Are a Different Form
Getting reimbursed for hotels and meals is not the same as getting your ticket refunded, and the two use different pages. A federal rule effective October 2024 requires airlines to issue automatic cash refunds when a flight is canceled or “significantly changed” and the passenger does not accept rebooking. Under 14 CFR Part 260, a significant change means a departure or arrival shift of three or more hours on a domestic flight, six or more hours on an international flight, being moved to a different airport, having extra connections added, or being downgraded.8eCFR. 14 CFR Part 260 – Refunds for Airline Fare and Ancillary Service Fees
If your disruption qualifies, request the ticket refund at united.com/en/us/refunds, which is a separate page from the Customer Care portal. You can pursue both a ticket refund and expense reimbursement at the same time. They cover different losses.
International Flights Have Additional Protections
Two other legal frameworks may apply on top of United’s own policies if your disrupted flight was international.
Montreal Convention
For itineraries covered by the Montreal Convention, Article 19 makes the airline liable for damages caused by delay unless it took all reasonable measures to avoid the harm. The liability cap for delay-related damages is set to rise to 6,303 Special Drawing Rights per passenger, roughly $8,400, under the latest ICAO adjustment.9ICAO. International Air Travel Liability Limits Set to Increase The cap covers provable losses like hotel costs, missed connections, and prepaid arrangements that fell through. You claim through the same Customer Care portal, but citing the Montreal Convention in your description signals you understand the framework.
EU Regulation 261/2004
If your United flight departed from an EU airport, EU passenger rights rules apply regardless of the airline’s home country. Under EU Regulation 261/2004, you may be entitled to fixed cash compensation on top of expense reimbursement:
- €250 for flights of 1,500 km or less.
- €400 for flights between 1,500 km and 3,500 km.
- €600 for flights over 3,500 km.
These apply to cancellations and to delays of three or more hours at your final destination.10European Union. Air Passenger Rights Airlines can avoid paying if the disruption was caused by “extraordinary circumstances” like severe weather, but mechanical problems generally do not qualify as extraordinary under EU case law. United’s disruption page acknowledges that “different policies may apply when traveling to and from certain countries, such as policies specific to the European Union.”5United Airlines. Missed, Delayed and Canceled Flights File EU261 claims through the same Customer Care portal and reference the regulation by name.
