To void a shipping label, cancel it through the same carrier or platform that issued it, before the deadline for that carrier and before the barcode is ever scanned. USPS, UPS, FedEx, eBay, and Amazon each run their own process, and the windows range from a few hours to three months. Miss the window or let the label get scanned, and the postage is gone.
The Label Cannot Have Been Scanned
Every carrier applies the same threshold rule: a label is only refundable if its barcode has never been read into the system. That includes scans by postal workers, automated sorting equipment, and QR code readers at drop-off kiosks. Once the barcode registers anywhere, the postage counts as used and the void request will be denied.1Pitney Bowes. Requesting a USPS Shipping Label Refund in the ParcelPoint Self-Service Sending Kiosk
This trips up sellers using QR code labels. If a drop-off clerk scans the QR code to print the physical label, the carrier treats it as used even if you never handed over the package.2eBay. Printing and Canceling Shipping Labels
Deadlines by Carrier
The clock is different for every carrier. Check yours first, because the tightest one is measured in hours, not days.
- USPS Click-N-Ship, domestic: 30 days to request a refund online. Between 30 and 60 days, you can still get a refund by emailing the Click-N-Ship Help Desk with your username, account number, label number, and transaction date. After 60 days, nothing.3United States Postal Service. Request a USPS Refund – Domestic
- USPS Click-N-Ship, international: Same 60-day total. Online within 30 days, email the Help Desk between 30 and 60.4United States Postal Service. Request a USPS Refund – International
- UPS: 90 days online at ups.com. Between 90 and 180 days you have to contact UPS directly. Nothing after 180 days. The label must have been created or billed through a UPS account number.5UPS. Need to Cancel or Void a Shipping Label
- FedEx: Before midnight local time on the ship date shown on the label. Create a label Monday for a Tuesday ship date, and you have until midnight Tuesday. After that, the shipment cannot be canceled online.6FedEx. How Can I Cancel a Shipment I Created Online
- eBay: 28 days for USPS, UPS, or FedEx labels bought through the platform.2eBay. Printing and Canceling Shipping Labels
Voiding a USPS Click-N-Ship Label
Log into your USPS account and open the Shipping History tab. From Order Details, tick the box next to the label and choose Refund from the actions menu, or use the three-dot menu on the label’s row and select Refund. From Label Details, select Request a Refund on the left and follow the prompts.7USPS. Click-N-Ship – The Basics
First-Class Mail items like letters and large envelopes cannot be refunded online. Those need a separate request through the USPS Click-N-Ship inquiry form.7USPS. Click-N-Ship – The Basics
Voiding a UPS Label
Go to the Void a Shipment page on ups.com. You need the tracking number and access to the UPS account that created the label. The system checks whether the label has been scanned; if it hasn’t, the void goes through. Only labels created or billed through a UPS account number can be voided this way, so a label generated through a third-party platform generally has to be voided through that platform.5UPS. Voiding a FedEx Label
Log into your FedEx account, find the shipment, and cancel it before midnight local time on the ship date printed on the label.6FedEx. How Can I Cancel a Shipment I Created Online Miss that window and your only option is to call FedEx customer service, with no guaranteed outcome. If you use a third-party platform, the void button can also disappear once a FedEx manifest has been printed, even if the ship date is still in the future.
Labels From eBay, Amazon, and Other Marketplaces
A label bought through a marketplace has to be voided through that marketplace. The carrier’s own site usually will not recognize a label tied to the platform’s bulk shipping account.
eBay
Open Seller Hub and go to Track and manage your shipments, or use Manage shipping labels in My eBay. Find the item, choose Cancel Label from the Actions column, pick a reason, and submit. Standard envelope labels cannot be canceled once printed. The carrier can take up to 21 days to approve or reject the refund, and approved refunds go back to the original payment method.2eBay. Amazon Seller Central
For labels bought through Amazon’s Buy Shipping, go to Orders, then Manage Orders, open the Order Details page for the shipment, and use the Refund Purchased Shipping Label option. This works only for labels bought through Buy Shipping. Anything else has to be voided wherever it was generated.
Postage Bought at a Post Office Counter
Retail postage bought at the counter cannot be voided through Click-N-Ship or any other online portal. Fill out PS Form 3533 (Application for Refund of Fees, Products, and Withdrawal of Customer Accounts), available at any Post Office. Bring the unused postage, your receipts, and any original documentation. The form has to be signed and dated or it will be rejected, and submitting it in person lets counter staff review the paperwork on the spot.3United States Postal Service. When the Refund Actually Shows Up
Timing depends on where the label came from.
- USPS Click-N-Ship: Refund requests are processed 14 days after you submit them. USPS uses that window to confirm the label never entered the mail stream. Approved refunds go back to the credit card used for the purchase.7USPS. Click-N-Ship – The Basics
- UPS: Voids processed through ups.com show in your account fairly quickly, though the actual credit to your card depends on your bank.
- FedEx: Refund times vary. Through a third-party platform, refunds can take up to 30 days.
- eBay: Up to 21 days for carrier approval, then back to the original payment method.2eBay. Printing and Canceling Shipping Labels
Labels bought through third-party shipping tools like ShipStation or Pirate Ship follow that platform’s refund policy. Some credit an account balance rather than the original payment method.
If You Ship a Package With a Voided Label
A void is really a refund request, not an instant kill switch. USPS doesn’t deactivate the barcode the moment you click Refund. The system waits roughly two weeks, then checks whether the label was scanned. If it was, USPS denies the refund and the package is delivered normally. No penalty, no refund.
The practical takeaway runs both ways. If you accidentally ship a package with a label you already voided, it will almost certainly arrive; the carrier reverses the refund instead of stopping the parcel. And if you void a label planning to reuse it later, you lose the money and gain nothing. Treat the void as final and buy a new label for anything you still need to send.
