To cancel a vehicle service contract or GAP waiver through Protective, download the Protective Asset Protection cancellation form from the company’s automotive customer forms page, print it, fill it out by hand, and return it to your selling dealership or send it directly to Protective’s processing office in Birmingham, Alabama. There is no online portal. The process is print, sign, and mail or fax.
Where to Download the Form
Protective hosts the cancellation form as a downloadable PDF. Go to the automotive customer forms section of the Protective Asset Protection site, click the “Cancellation Form” link for your product type, and print a copy. You can also ask the finance office at the dealership where you bought the vehicle for a blank copy.1Protective Asset Protection. Automotive Customer Forms
Credit life and credit disability products are not cancelled on this form. For those, call 800-841-4777 or go through your selling dealer.1Protective Asset Protection. Automotive Customer Forms
What to Have in Hand Before You Start
Pull your original contract or purchase paperwork before you sit down. The form has no tolerance for blanks, and most of the fields are not easy to reconstruct from memory. You will need:
- Contract number, found on the service contract or GAP agreement.
- Contract effective date, usually the day you signed at the dealership.
- Vehicle year, make, model, and full VIN (or serial number for towable or coach RVs).
- Current odometer reading, in miles or kilometers.
- Lending institution name and mailing address.
- Selling dealer name and dealer number, which appears on your original paperwork.
If the vehicle was purchased in Maine, note the sales tax paid on the contract. That field does not apply to GAP products and is not required for any other state.2Protective Asset Protection. Protective Asset Protection Cancellation Form
Filling Out the Form
Start at the top with the lending institution’s name and full mailing address, then enter the dealer name and dealer number. Add your own name and address as the customer below that.
In the middle section, enter the contract effective date and the date you want the cancellation to take effect. For most people, the cancellation date is the day you sign the form. Fill in the vehicle year, make, model, VIN, contract number, and current odometer reading.2Protective Asset Protection. Protective Asset Protection Cancellation Form
Check the box that identifies who is submitting the request, the selling dealer or you as the customer. If you are submitting directly, attach a copy of your original contract. Sign and date the bottom. Your signature has to match the name on the original contract; a spouse or co-buyer whose name is not on the contract cannot sign in your place. A dealership witness signature line also appears on the form, which the finance office fills in if you are going through the dealer.
Picking a Cancellation Reason and What to Attach
The form lists eight reasons. Check one, and attach whatever that reason requires. Several reasons trigger a 90-day rule that catches people off guard.
- Customer request. Your signature is required, and the cancellation date must fall within 90 days of the current date.
- Sold vehicle. Your signature plus proof of sale. If the sale happened more than 90 days ago, include supporting documents.
- Traded in. Your signature plus trade-in documents. Same 90-day rule.
- Traded in and used for down payment. Same as a standard trade-in.
- Loan paid in full. Attach a paid-in-full notice from your lienholder.
- Total vehicle loss. Attach the total loss documents from your insurance carrier.
- Repossession. Attach the repossession documents.
- Sale unwound. If the deal was reversed more than 90 days ago, include supporting documents.
There is also an “Other” line for anything that does not fit.2Protective Asset Protection. Protective Asset Protection Cancellation Form The 90-day detail is where most self-submitted forms stall. If you traded in your car four months ago and are only now remembering to cancel the service contract, a signature alone will not do; you need the trade-in paperwork to prove when ownership changed hands.
Where to Send the Completed Form
You have three submission routes:
- Through the dealership. Return the signed form to the finance manager at the dealership where you bought the vehicle, and they submit it to Protective. Often the simplest route if the dealership is nearby.
- By mail. Send the form and all supporting documents to Protective at P.O. Box 830633, Birmingham, AL 35283-0633.2Protective Asset Protection. Protective Asset Protection Cancellation Form
- By fax. Fax the form and documents to 800-574-5116.2Protective Asset Protection. Protective Asset Protection Cancellation Form
Protective’s own instructions say to provide a copy to your selling dealership regardless of which route you choose, so their records match.1Protective Asset Protection. Automotive Customer Forms If you mail, use a service with tracking or delivery confirmation. A confirmed delivery date protects you if there is any later dispute about when Protective received the request. Keep a photocopy of the signed form, every attachment, and the tracking receipt.
Refund Amount and Where the Money Goes
Protective calculates refunds on a pro-rata basis. You pay only for the portion of coverage you actually used, so a one-year cancellation on a five-year contract starts at roughly 80 percent of what you paid. For service contracts, mileage used relative to the contract’s mileage limit also factors in. Your contract may include a cancellation fee; whether one applies and how much it is depends on the specific contract, and the amount comes off the gross refund.3Protective Asset Protection. Protective Asset Protection – Frequently Asked Questions Check your coverage booklet for the specifics, and look at whether the refund method is pro-rata or something less favorable before you expect a particular dollar figure.
If you still have an active loan on the vehicle, the refund goes to your lienholder, not to you. The form itself contains a statement you sign acknowledging this.2Protective Asset Protection. Protective Asset Protection Cancellation Form The lender applies it to the loan’s principal. Your monthly payment stays the same, but the loan is paid off sooner.
If the loan is already paid off, pick “Loan paid in full” as your cancellation reason (or note it alongside your actual reason) and attach the paid-in-full letter from your lender. Without that letter, Protective will send the check to the bank listed on your contract even if the bank no longer has any interest in the vehicle.4Protective Asset Protection. How Long It Takes
Protective says cancellation requests are typically processed within five days of receipt.4Protective Asset Protection. Plan Cancellation Instructions Getting the money takes longer. According to Protective’s FAQ, the refund is sent to the selling dealer during the month following receipt of the paperwork.3Protective Asset Protection. Protective Asset Protection – Frequently Asked Questions If the dealer then has to credit your lender or cut you a check, add more time.
The form has a built-in safeguard. By signing, you agree to notify Protective if you have not received the refund (or seen it credited to your lender) within 60 days.2Protective Asset Protection. Check for a Free-Look Period First
Many service contracts include a free-look window shortly after purchase during which you can cancel for a full refund with little or no penalty. The length depends on your contract and state law. Look at the cancellation section of your coverage booklet before you file. If you are still inside that window, a full refund is almost always more money than a pro-rata calculation weeks or months later.
Mistakes That Delay the Refund
Most rejected submissions trace back to a short list of errors:
- Missing signature, or a signature from someone not on the original contract.
- Wrong cancellation date on a “customer request” cancellation. The date has to be within 90 days of the current date, or you need supporting documents.
- No supporting documents. Every reason except “customer request” requires attachments. Without them the form sits.
- No contract copy when you submit directly. Bypass the dealership and you have to attach a copy of your original contract.
- Sending the form to the wrong place. The process runs through either the selling dealer or Protective’s Birmingham address. Mailing it to your lender or anywhere else accomplishes nothing.
Ten extra minutes checking the form against this list can save weeks. Keep copies of everything you send, note the date it went out, and mark your calendar for the 60-day follow-up window.
